Our After-School Program has grown significantly, providing a dual benefit: highly reliable, premium school pickup services from 6 local schools for busy Brooklyn parents, and transformative martial arts training for their children. Because of this rapid growth, we are seeking a dedicated, hard-working, and ambitious Operations Manager to take complete ownership of our daily logistical workflows.

The Role
We do not just need an administrator; we need an operations architect. The perfect candidate is a proactive problem-solver who constantly asks, "Is there a more efficient, automated way to accomplish this?"
You will act as the logistical command center for our After-School Program, daily school dispatches, and monthly events. Your mission is to eliminate administrative friction, maintain flawless daily records, and enforce Dojang policies with a warm but unyielding professionalism.
Core Responsibilities
1. Daily Logistics & Mastering the Rolling Dispatch
- Coordinate the Route: Manage a complex, staggered daily pickup window ranging from 1:30 PM to 3:45 PM across at least 6 distinct school locations, ensuring zero gaps in safety or communication.
- High-Volume Environment: Maintain composure while overseeing daily transitions, attendance, and library supervision for up to 30 daily students (out of a nearly 50-student roster).
- Seamless Transitions: Guarantee absolute safety, accurate daily headcounts, and immediate problem resolution from school dismissal to the Dojang.
2. Uncompromising Policy Enforcement
- Protect the Culture: Strictly enforce the center’s rules.
- Accountability & Billing: Track and bill all policy violations without hesitation.
3. Systems Administration & Member Success
- Zenplanner Mastery: Maintain flawless records in our CRM (Zenplanner), ensuring all student profiles, belt ranks, auto-renewals, and daily attendance logs are completely accurate.
- Workflow Optimization: Build and deploy digital forms, cloud-based check-in systems, and automated tracking sheets to reduce manual data entry for our staff and drivers.
Qualifications of the Perfect Candidate
Non-Negotiable Baseline Requirements:
- Education & Clearance: A College Degree is required. Furthermore, you must pass a comprehensive background check with zero criminal record, as you will be operating as a trusted guardian for our youth program.
- Certifications are a plus: Health and/or Education Certifications (e.g., active CPR/AED, First Aid, early childhood education credits, or accredited fitness certifications).
- Dual-Audience Experience: Proven, verifiable experience working directly with both children (maintaining safety and engagement) and adults (delivering high-level customer service to parents).
Operational Capabilities:
- Systems-Minded & Tech Savvy: Highly proficient with CRMs (Zenplanner preferred), cloud-based forms, Mailchimp, Canva for making events flyers and more, and backend website management.
- Unflappable Under Pressure: When dispatch logistics change at the last minute, you remain calm, reroute staff, and communicate clearly, and be ready to hop in any case of emergency.
- Warm but Firm Communicator: You possess the emotional intelligence to speak warmly with children, while having the backbone to strictly enforce Dojang rules and financial penalties with parents.
