Operations Coordinator
World Eskimo-Indian Olympics (WEIO) | Fairbanks, Alaska
Part-Time | Non-Exempt | At-Will | $27–$32 per hour, DOE

The World Eskimo-Indian Olympics (WEIO) is an Alaska Native-led nonprofit organization dedicated to preserving and promoting traditional Alaska Native and circumpolar Indigenous games, skills, dances, arts, and cultural practices. Each year, WEIO brings together athletes, Elders, youth, families, volunteers, and visitors in Fairbanks for a multi-day cultural and athletic gathering rooted in strength, wellness, cultural pride, and intergenerational learning.

WEIO is seeking an organized, motivated, and community-minded **Operations Coordinator** to support its year-round operations and annual Games. This position is ideal for a self-starter who enjoys managing a variety of projects, communicating clearly, working independently, and helping deliver a high-quality event that serves communities across Alaska.

Position summary

The Operations Coordinator supports WEIO’s daily administrative operations, communications, fundraising, Board activities, event planning, and annual Games execution. Reporting to the WEIO Board Chair, this position is responsible for moving projects from planning through completion, maintaining organized records and timelines, and providing regular updates on progress, deadlines, barriers, and decisions needed.

Responsibilities

- Coordinate general office administration, including phones, email, mail, visitor communication, supplies, records, invoices, payments, and document tracking.
- Maintain organized electronic and hard-copy files, shared calendars, project trackers, operational documents, and event records.
- Support WEIO communications by assisting with social media, website and online-store updates, and public inquiries.
- Create WEIO-branded graphics and materials using Canva or similar software, including brochures, flyers, advertisements, tickets, programs, sponsor-recognition materials, social-media content, signage, and other print or digital materials.
- Support merchandise and online-store operations, including inventory, orders, fulfillment, and customer communication.
- Support fundraising and sponsorship efforts by researching opportunities; drafting and sending outreach letters; preparing and submitting grant, sponsorship, and funding applications through online portals; and tracking deadlines, follow-up, reporting, and recognition.
- Provide Board support by assisting with meeting materials, agendas, reports, action-item follow-up, and editing draft Board minutes.
- Coordinate event planning and logistics with the Board of Governors, including vendor and contractor communication, registrations, ticketing, advertising, printing, event supplies, banners, signage, and event documents.
- During the annual WEIO Games, serve as an onsite contact for contractors and venue staff; support ticketing and registration; help resolve operational issues; and assist with setup, event operations, and breakdown.
- Review processes and recommend practical improvements that strengthen organization, communication, efficiency, accountability, and participant experience.
- Complete other duties consistent with the position and WEIO’s operational needs.
