Inventory Specialist

Department: Purchasing / Materials Management

Reports To: Purchasing / Materials Manager

Location: Weyauwega, WI

Status: Full-time, hourly (non-exempt)

Position Summary

The Inventory Specialist owns the accuracy, availability, and physical control of raw material inventory, and is accountable for on-time delivery of purchased material and outside service (outside processing) work. This role keeps material moving through receiving, stock locations, production, and outside vendors so that work orders and customer commitments are met without excess inventory or expediting.

Key Accountabilities

1. Raw material inventory accuracy — bin/location accuracy, quantity accuracy, and correct material identification for all raw material.

2. Material on-time delivery — purchased raw material arrives complete and on or before expected delivery date; exceptions are flagged early.

3. Outside service on-time delivery — parts sent to outside processors are shipped, tracked, and returned on schedule and reconciled to the PO.

Primary Responsibilities

Material Handling and Flow

· Receive, unload, verify, tag, and put away incoming raw material against the purchase order and packing slip

· Move material to and from production, staging, and shipping areas using forklift, crane/hoist, and other material-handling equipment

· Stage and kit raw material for released work orders in the correct quantity and specification

· Prepare, package, and ship parts to outside service vendors; receive and inspect returned material

· Maintain a clean, organized, and safe storage area (5S), including rack loading, labeling, and safe stacking of bar, plate, sheet, tube, and coil

Inventory Records and Location Control

· Record and maintain material location for every item in the ERP system (NetSuite); ensure every receipt, move, issue, and return is transacted accurately and same-day

· Verify heat numbers, lot/mill certifications, alloy/grade, and material specifications (e.g., ASTM, aluminum alloy, steel grade) are recorded and traceable

· Maintain bin locations, min/max levels, and reorder data; recommend location changes to improve flow

· Investigate and resolve negative balances, unrecorded transactions, and quantity discrepancies

Cycle Counting and Accuracy

· Execute the cycle count program per schedule

· Research root cause of count variances rather than simply adjusting; document findings and corrective actions

· Prepare and post approved inventory adjustments with proper documentation and approval

· Report inventory accuracy metrics and drive continuous improvement toward accuracy targets

· Support physical inventory and year-end audit requirements

Delivery and Vendor Follow-Up

· Monitor open purchase orders and outside service orders daily; confirm acknowledgments, ship dates, and tracking

· Expedite late or at-risk material and escalate shortages that threaten work order or customer ship dates

· Communicate delivery status to Purchasing, Production Planning, and Operations

· Document supplier delivery performance and support vendor scorecard/corrective-action discussions

· Reconcile receipts to PO quantities and pricing; work with Purchasing and Accounting to resolve discrepancies

Nonconforming and Excess Material

· Identify, tag, segregate, and control nonconforming, damaged, or short-shipped material; support return-to-vendor (RTV) transactions. Ensure accurate recording in system.

· Identify obsolete, slow-moving, and excess raw material and recommend disposition

· Track and control remnants/drops so usable material is returned to stock and consumed before new purchases

Other

· Backup to shipping and receiving department

· Other tasks as needed

Qualifications

Required

· 2 years of inventory, warehouse, receiving, or materials experience in a manufacturing environment

· Working knowledge of an ERP/MRP system for inventory transactions

· Ability to read and interpret packing slips, purchase orders, routings, bills of material, and basic prints

· Basic math and computer skills, including spreadsheets

· Forklift certification or ability to be certified; ability to be trained on overhead crane

· Accurate, detail-oriented, and self-directed with strong follow-up habits

Preferred

· Experience with NetSuite (inventory transactions, bin management, cycle counts, purchase orders)

· Familiarity with metals — steel and aluminum grades, ASTM specifications, mill certifications, and heat-number traceability

· Experience with outside processing / subcontract purchase orders

· Exposure to lean manufacturing, 5S, kanban, or cycle count program ownership

Physical Requirements and Work Environment

· Regularly lift and carry up to 50 lbs; occasional team lifting of heavier material

· Standing, walking, bending, climbing, and reaching for the majority of the shift

· Manufacturing/warehouse environment with exposure to noise, dust, and varying temperatures

· Required use of PPE including safety glasses, steel-toe footwear, and hearing protection as posted
