This position is a clerical front desk receptionist role in a medical clinic in Kailua Kona. Workstar provides medical care to the Hawaii community for individuals with impaired function and pain.
JOB SUMMARY/RESPONSIBILITIES:
· Performs clerical patient care functions and activities to support the medical practice as assigned.
· Performs duties in compliance with regulatory requirements and in accordance to established policies, procedures and regulations.
PERFORMS ADMINISTRATIVE SUPPORT FUNCTIONS (CLERICAL):
· Assists with clerical duties as assigned
o Utilizes electronic medical records (EMR) for patient record keeping
o Registers, schedules and checks in patients for appointments.
o Answers telephones, takes, receives or relays messages.
o Processes patient charges and billing. Keeps abreast of health record coding related to clinic services.
o Communicates pertinent information to patient and family, physicians, adjusters, other medical professionals, staff and Medical Center departments as appropriate.
o Documents patient’s chart in accordance with procedures and format. May provide scribe functions for the physician at times.
o May interpret hand-written notes from physicians and transcribe it into the medical record as necessary.
o Assists in maintenance of exam rooms, medical equipment and supplies, medications, linens and forms and orders as necessary.
o Completes and types forms, reports, correspondence, vouchers, purchase orders and other documents.
o Inputs data and compiles reports in accordance with established procedures and guidelines.
o Opens, date stamps and distributes mail.
o Maintains accurate files for correspondence, inventory, charges, payments, or other records.
o Assists in maintenance of office equipment, supplies and orders as necessary.
o Performs activities related to scheduling, registration, authorizations, insurance verification, treatment plans, referrals and medical records.
o Communicates with insurance companies, adjustors, claim managers and other individuals related to patient care and access.
Assists and participates in orientation programs; attends in-service and education programs as assigned.
Complies with regulatory standards including but not limited to, company policies, HIPAA, OSHA, CDC, CMS, HHS and others.
Adheres to standards required by insurance companies for payment.
Develops and maintains technical and other job-related competencies.
Performs other related duties as assigned.
MINIMUM QUALIFICATIONS:
EDUCATION/CERTIFICATION AND LICENSURE:
· High School Diploma or equivalent
EXPERIENCE:
· One (1) year customer service experience or clerical experience in a healthcare related setting preferred
· Prior experience demonstrating ability to operate office equipment such as computer, copier, facsimile, and telephone.
· Experience to demonstrate:
o Ability to communicate effectively in English, both verbally and in writing.
o Ability to keep accurate records and do mathematical calculations.
o Knowledge and familiarity with computer applications and automated systems.
o Knowledge of ICD-10 & CPT coding and medical terminology preferred.
· Prior experience with computerized scheduling systems preferred.

TYPICAL PHYSICAL DEMANDS:
The Patient Service Representative I role involves both clinical and clerical responsibilities in a fast-paced medical environment. The position requires the ability to perform the following physical and cognitive tasks safely and effectively, with or without reasonable accommodation:
· Physical Requirements - Regularly operate computers, phones, and medical equipment. - Frequently sit or stand for up to two hours at a time and move throughout the clinic to assist patients and access equipment. - Occasionally lift or carry items such as medical supplies, equipment, or paper up to 25–40 pounds. - Occasionally assist patients in transferring to or from examination tables or wheelchairs. - Occasionally push or pull up to 100 pounds of force (e.g., moving equipment or assisting patients).
· Dexterity and Coordination - Accurately document information in electronic medical records and interpret written or electronic data.
· Cognitive and Communication Requirements - Communicate clearly and effectively with patients, providers, and coworkers in person, over the phone, and through written documentation. - Follow multi-step clinical and administrative processes accurately to ensure patient safety and data integrity.
· Work Environment - Exposure to a clinical setting that may include contact with blood or body fluids, chemicals, and communicable diseases. - Work may be fast-paced and occasionally stressful. - May require limited interisland travel to support clinic operations.
