The Pricing and Contract Specialist is responsible for preparing accurate, timely quotes for a contract furniture dealership while coordinating small-cap projects from order through completion. This role supports the sales team by gathering vendor pricing, confirming discounts and contract programs, and ensuring project details are organized and executed smoothly. The ideal candidate is detail-oriented, proactive, and comfortable managing both pricing tasks and light project coordination.

The Pricing and Contract Specialist is responsible for preparing accurate, timely quotes for a contract furniture dealership while coordinating small-cap projects from order through completion. This role supports the sales team by gathering vendor pricing, confirming discounts and contract programs, and ensuring project details are organized and executed smoothly. The ideal candidate is detail-oriented, proactive, and comfortable managing both pricing tasks and light project coordination.

What You'll Do
Quotation Preparation
- Prepare detailed, accurate, and comprehensive furniture quotes based on project specifications and client needs
- Interpret design drawings, product lists, and scope documents to ensure correct product selections, configurations, and finishes
- Input pricing into dealership quoting software or ERP systems to create, update, and finalize proposals
- Confirm accuracy of product numbers, pricing, freight, installation costs, and applicable taxes
- Request pricing estimates from manufacturers and suppliers for standard and custom products
- Confirm all applicable discounts, special pricing agreements, promotional pricing, and contract programs (e.g., GSA, state/NASPO, national accounts)
- Maintain timely communication with vendor reps to ensure accurate and complete pricing information
- Monitor pricing updates and communicate changes to the sales team
- Coordinate small-scale furniture projects from quote approval through completion
- Prepare purchase orders and verify accuracy of product specifications before order submission
- Track order acknowledgments, lead times, and shipping status; communicate updates to internal teams and clients
- Serve as a central point of contact for installers, vendors, and clients for scheduling and coordination
- Assist with resolving minor field issues, freight discrepancies, damages, or replacement needs
- Ensure projects meet timelines, budget expectations, and dealership quality standards
- Work closely with sales, design, project management, and procurement teams to clarify scope and ensure accurate pricing and coordination
- Support sales representatives with pricing insights, vendor updates, and project status reports
- Collaborate with installation teams to schedule delivery and installation for small-cap projects
- Maintain organized records of vendor quotes, pricing confirmations, and small-cap project documentation
- Update internal systems with current pricing, discount structures, and vendor program changes
- Create and maintain standardized quoting templates or tools as needed
- Maintain vendor data spreadsheet with most up-to-date information
- Review all quotes for accuracy, consistency, and compliance with dealership standards and contract requirements
- Double-check project details, product specifications, and order documentation before submission
- Identify discrepancies or potential issues and resolve them proactively
- Ensure specification checks have been submitted properly
- Experience in contract furniture, commercial interiors, or related field preferred
- Proficiency with Microsoft Office Suite
- Excellent communication and organizational skills for vendor, client, and internal team coordination
- Strong attention to detail, time management, and problem-solving abilities
- Ability to read design drawings, floor plans, or product specifications is a plus
