Salary Range: $19.50-22.00
Full time; 7:00 am - 4:00 pm (42.5 hours per week; overtime eligible)
Worcester Cultural Charter Public School is seeking a Front Office Administrative Assistant to provide administrative support. The successful candidate will possess experience working in diverse schools with English Language Learners and students with disabilities. Candidate must share WCACPS’s mission and EL Education philosophy, which will provide K-6 students with rigorous, real world learning experiences in a supportive and nurturing school community, helping all students to become reflective inquisitors, articulate communicators, critical thinkers, and skilled problem solvers. Successful candidate should have a collaborative spirit of “we are crew, not passengers.” The Administrative Assistant will report to the Head of School.
Key Responsibilities
Front desk receptionist; answers telephone calls and delivers messages; greets and directs children, parents, substitute teachers, and other visitors.
Maintain Head of School’s calendar
Process purchase orders, invoices, and reimbursement requests
Assists with school mailings
Assist with staff attendance tracking and coverage
Maintain electronic and paper files
Assists with recordkeeping requirements.
Progress report and report card communication with staff, printing, and mailing
Create and disseminate daily dismissal lists
Assist with the maintenance of student information including database, student records, class lists
Monitors student absentee call-in system, and contacts parents for verification of student absences when necessary.
Coordinate and facilitate communication between students, parents, community organizations, and the general public
Learn, interpret, apply, and explain rules, regulations, policies, and procedures
Support school events
Order office and instructional supplies
Welcome and orient new faculty and staff
Maintain internal and external electronic distribution lists
Ability to work collaboratively and productively in an organization that prioritizes Diversity, Equity, Accessibility, and Inclusion operations
Performs other job-related duties as assigned
Skills and Experience:
Ability to multitask, prioritize, and adapt in a fast-paced environment.
High school diploma or G.E.D. and at least two years relevant experience, education, and/or training.
Experience and/or passion for working cooperatively in schools with diverse communities, including those in Worcester
Demonstrated respect for families with a diverse range of backgrounds.
Strong organizational, verbal, written, and time management skills
Sense of humility, customer service mindset, and ability to proactively solve problems
Team player with strong interpersonal, stakeholder management, and relationship-building skills, including ability to foster positive and collaborative interpersonal relationships with staff, students, families, and the general public
Committed to going above and beyond to meet the needs of students and families
Excellent computer skills, including Microsoft Word, PowerPoint, Excel; Google Drive, Google Docs, Google Forms, and Google Sheets
Fluent in administrative and clerical procedures, electronic communication, data entry, operation of standard office equipment, managing files/records, and other office/school procedures and terminology
Conscientious attention to detail and commitment to accuracy in all areas
Exhibit flexibility and able to adapt to change
Strong work ethic, integrity, and ability to maintain confidentiality
Bilingual (English/Portuguese or English/Spanish) and bicultural candidates preferred

Worcester Cultural Academy (WCA) is a free charter public school in Worcester, MA. WCA offers Kindergarten through 6th grade this year and will grow through to 8th grade.
