Overview: The Secretary is responsible for providing administrative support to management, handling communications, and ensuring efficient office operations. This role is crucial for maintaining a smooth workflow, managing paperwork, and supporting various departments.
Key Responsibilities:
- Answer and direct phone calls, emails, and other inquiries from customers and suppliers
- Manage vendor invoices to ensure payments are made within terms
- Handle day-to-day office tasks including filing, organizing documents, and maintaining office supplies
- Help track and manage inventory levels and assist in reordering supplies as necessary.
- Assist with processing purchase orders, invoices, and billing.
- Run monthly statements and maintain customer account records
- Compile, organize, and update vendor and customer databases.
- Help keep showroom clean and organized
Required Skills & Qualifications:
- High school diploma or equivalent
- Experience in office administration, preferably in the building supply or construction industry
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information and maintain professionalism.
- Ability to multitask and prioritize in a fast-paced environment.
Working Conditions:
