The $90,000 annual starting pay is structured to be competitive and may extend up to the $100,000 of the annual range, reflecting our commitment to offering competitive compensation to qualified candidates.

  • Knowledgeable in finance – You're experienced in accounting and possess strong knowledge of finance principles and budget preparation

Your Primary Responsibilities

Executive & Senior Leadership Administrative Support (50%)

  • Support the administrative needs of 2-3 Executives, including calendar management and special project support.
  • Provide administrative support for Senior Leadership Team meetings.
  • Manage mail and prepare written responses to mail, e-mail, and/or phone calls.
  • Create and modify, as needed, PowerPoint presentations, materials or other strategic communication.
  • Implement department specific policy and procedures, as needed.
  • Assume the Chief of Staff’s daily general office responsibilities for the President and CEO, if needed, such as scheduling and meeting support.
  • Maintain confidentiality of Executive and Senior Leadership Staff, CEO’s offices, Board, and any other sensitive zoo information.

Board Coordination (20%)

  • Assists the Chief of Staff and Board Administrative Specialist scheduling, preparation, and execution of various Board meetings, retreats and events, as needed.
  • Prepare agendas, materials, talking points and minutes as the administrative support for the Board Business & Finance Committee, Investment Subcommittee and Audit Subcommittee.

Zoo wide Administrative Support & Cross-Departmental Collaboration (15%)

  • Act as a resource and liaison with zoo staff, board members, public, zoo volunteers, professional peers, and zoo members on behalf of the Office of the President.
  • Support the administrative needs and coordination for AZA Accreditation-related processes.
  • Collect and submit annual zoo demographic information for the annual AZA Benchmarking Survey.
  • Coordinate annual Holiday and WildLanterns Manager on Duty assignments.
  • Provide administrative support for the annual Zoobright Scholarship Program in partnership with other zoo departments.
  • Assists with and coordinates other special projects, duties and meetings as assigned.

Executive Finance & Travel Support (15%)

  • Prepare and submit accounting materials, manage departmental files, budget documents, or other materials essential for the administrative operations of the Office of the President and select Executive Leadership Team members.
  • Make travel arrangements and prepare expense vouchers on behalf of select Executive Leadership Team members.

Qualifications

  • Bachelor’s degree (B.A.) or equivalent from a four-year college or technical school; five or more years related experience and/or training; or equivalent combination of education and experience.
  • Two or more years experience working with or supporting Board Members and/or high-level Donors.
  • Proficient use of computer, Adobe, and Microsoft Office, particularly Word, Excel, PowerPoint, Publisher, and Outlook.
  • Must be able to use a projector and laptop to run meeting presentations and/or videos.
  • Successful applicants must live and work in Washington State to perform this role.

  • Ability and willingness to learn other software programs as necessary.
  • Strong knowledge of finance and accounting to help prepare materials on behalf of the CFO.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills with ability to meet deadlines in a professional manner.
  • Ability to collaborate well with all departments within the organization and to represent the Executives in a highly professional manner with a diverse group of individuals, both internally and externally.
  • Ability to work effectively as a team member and independently with little supervision.
  • Demonstrated ability to maintain the highest level of confidentiality, while handling sensitive material concerning the organization and the executive’s role within the organization.
  • Applicants must be at least 18 years old and have a valid WA driver's license with a safe driving history.
