Castlewood Custom Builders – Bethesda, MD (DMV Area)
Full-Time | On-site

Castlewood Custom Builders, a luxury custom home builder in the Washington DC metro area, is seeking a highly organized Permitting Coordinator to manage and oversee all permitting activities across our active projects. This role is essential for keeping our construction schedule on track and ensuring compliance with local municipalities and agencies.

About the Role

The Permitting Coordinator is responsible for compiling permit packets, preparing and submitting applications, identifying required permits across multiple jurisdictions (Montgomery County DPS, WSSC, DC, Virginia, etc.), and working closely with engineers, clients, and government agencies to ensure timely approvals.

Responsibilities

Permit Management

  • Prepare complete permit application packets and submit to appropriate agencies.
  • Determine required permits for each jurisdiction and monitor processing timelines.
  • Review plans for accuracy, correct revision dates, and required permit details.
  • Collaborate with engineers, architects, and consultants to obtain necessary documents.
  • Respond to agency comments and coordinate revisions with engineers/designers.
  • Track all permits from submission to approval and update project schedules accordingly.

Communication

  • Serve as liaison between Castlewood, clients, engineers, inspectors, and permitting agencies.
  • Provide ongoing status updates to project managers and leadership.
  • Obtain client signatures and approvals required for permit submissions.
  • Schedule meetings, inspections, and appointments related to permitting.

Administrative

  • Enter and maintain permitting data in BuilderTrend and internal logs.
  • Maintain organized digital and physical files for all projects.
  • Monitor deadlines, resubmittal requirements, expirations, and follow-ups.
  • Support overall project coordination to prevent delays to construction start dates.

Qualifications

Required

  • High School Diploma or equivalent (college degree preferred).
  • 3 years of permitting experience—residential construction in the DMV area strongly preferred.
  • Experience with road right-of-way permitting and developing/reading permit drawings.
  • Ability to read blueprints, construction documents, and plot plans.
  • Strong organizational and time-management skills.
  • Intermediate proficiency in Microsoft Office (Word & Excel).
  • Intermediate proficiency in Google suite (Sheets, Docs, Gmail, etc)
  • Excellent written and verbal communication skills.
  • Ability to manage multiple deadlines in a fast-paced environment.

Preferred

  • Experience with Montgomery County DPS, WSSC, DC DCRA, and Northern Virginia permitting.
  • Familiarity with BuilderTrend or other construction management software.

Pay: $24.89 - $29.98 per hour
