The Millwork Procurement Agent position is an exempt, full-time office position. The hours are 8 am to 5 pm Monday through Friday. This position is not eligible to work remotely. We are located in Carrollton, Texas, northeast of Dallas.

Job Description: As a key part of the Woodhaus project team, Procurement plays a vital role in ensuring every material, finish, and component is sourced with precision and delivered on time. You’ll manage vendor relationships, track material logistics, and coordinate directly with Project Management, Engineering, and Field teams to keep projects moving seamlessly from design to installation.

Job Responsibilities:
Procurement & Vendor Mangement
- Source and purchase all project materials, hardware, veneers, and specialty finishes based on approved submittals and specifications
- Build and maintain strong relationships with suppliers, ensuring competitive pricing, quality standards, and reliable lead times
- Review and negotiate vendor quotes and contracts in coordination with Project Managers and the Director of Project Management
- Track and manage purchase orders, delivery schedules, and material inventories
Project Coordination
- Collaborate closely with Project Managers/Estimators to understand project timelines, scope, and material requirements
- Communicating material lead times, potential delays, and substitutions to internal teams in a timely, solutions-oriented manner
- Partner with the APM (Assistant Project Managers) team to confirm specifications and approvals prior to procurement
- Ensure alignment between fabrication schedules and delivery logistics to support on-time installations
Budget & Documentation
- Maintain cost tracking and procurement logs for each project, updating PMs and leadership regularly
- Verify material quantities, pricing, and invoice accuracy prior to approval
- Support financial accountability by ensuring all purchases align with project budgets and approved scopes
- Maintain digital and physical records of all procurement activity
Quality & Logistics
- Address and resolve vendor issues promptly to avoid project delays
- Assist with project closeout by ensuring all purchase records and warranties are properly filed
Skills Required:
- Strong organizational and communication skills
- Experience with construction or millwork procurement preferred
- Proficiency with Microsoft Office and project tracking systems (Excel, Smartsheet, or equivalent)
- Ability to read and understand shop drawings and material specifications / limitations
- Excellent attention to detail and problem-solving skills
- Ability to work in a fast-paced, collaborative environment
