Position Summary
The Office Manager coordinates the day-to-day operations of the Woodfords Central Maine campus, helping maintain an organized, welcoming, and well-functioning workplace. This position manages key office and building functions, supports campus culture, and serves as a liaison among employees, leadership, and agency support departments. The Office Manager also provides professional reception and telephone support.
Key Responsibilities
- Coordinate daily office operations, including opening and closing the building.
- Maintain welcoming, clean, and organized lobbies, conference rooms, break rooms, and other common areas.
- Manage office supplies, deliveries, returns, and mail.
- Maintain meeting and visitation room schedules in coordination with agency staff.
- Greet visitors, answer and screen telephone calls, and respond appropriately to routine and urgent inquiries.
- Maintain employee contact information and support staff and visitor sign-in procedures.
- Participate on the Emergency Action Team and support evacuation and building safety procedures.
- Submit maintenance requests and serve as a liaison between campus employees, leadership, and agency support departments.
- Coordinate cross-program activities that promote collaboration, inclusion, communication, and a positive campus culture.
Opportunity Details
- Full-time, hourly position, 40 hours per week
- Monday through Friday schedule of approximately 7:45 a.m. to 4:00 p.m.
- $20-$23/per hour depending on experience
Qualifications
- High school diploma or GED equivalent required
- At least one year of office management experience required
- Strong interpersonal, multitasking, conflict-resolution, and problem-solving skills
- Friendly, helpful, and professional demeanor
- Proficiency in Microsoft Outlook, Word, and Excel
- Knowledge of office equipment, including multi-line telephone systems, computers, photocopiers, and fax machines
- Aptitude for learning new technology
- Ability to remain organized and professional while managing the demands of a busy office
