POSITION SUMMARY
The Referrals and Medical Records employee handles all incoming and outgoing records and referrals. This individual will review records for completeness and accuracy. He or she must maintain confidentiality at all times.

Essential Functions Statement(s)
● Monitor fax queue and route incoming documentation to electronic medical records
● Scan information into the electronic medical record
● Answer incoming phone calls and return calls, messages and emails to patients, doctors’ offices, and other appropriate contacts within an appropriate time frame
● Handle all medical records requests from patients, hospitals and other healthcare facilities, and auditing third parties
● Prepare records for subpoenas and attorneys’ offices
● Ensure the medical record is accurate, complete and organized
● Take payments for medical records and forms
● Send certified letters
● Make outbound calls to obtain records needed by the physicians and staff
● Complete breast pump orders and fax to appropriate suppliers
● Promptly address all incoming and outgoing referral requests from patients, providers, and facilities
● Fax records and/or call offices to schedule outbound referrals and scans
● Complete regular follow-ups to referral sources to obtain scheduled appointment dates and times and receive completed visit notes
● Document referral appointment details in referral order to complete the referral loop
● Process inbound referrals, ensure correct department receives, notify scheduling department
● Work within proper practice procedures set by supervisor
● Analyze procedures and make recommendations to supervisor for improvements
● Perform any other tasks as needed by the practice

SKILLS & ABILITIES
Education: High School Diploma, or equivalent
Experience: 1 year Medical Records and Referral experience, required.
Computer Skills: Ability to efficiently operate computers. Comfortable with Microsoft Office.
