Finance and Administrative Coordinator
Reports To: Executive Director
Location: New Bedford, MA
Schedule: 20 hours/week
Pay Range: $24 - $27/hour

About the Position
The Finance and Administrative Coordinator strengthens WFSC’s financial integrity and operational capacity. This role ensures accurate financial management, smooth administrative systems, and reliable support for staff, partners, and community members. This person plays a key part in maintaining transparency, supporting equitable grant processes, and enabling WFSC to deliver meaningful impact across the SouthCoast.
Key Responsibilities
Finance and Bookkeeping
•Process accounts payable and receivable, including vendor payments, consultant invoices, grant disbursements, and donor contributions.
•Maintain accurate and organized financial records, including documentation required for grants, audits, and compliance.
•Reconcile bank accounts, credit card statements, and program-specific expenditures.
•Prepare monthly financial reports for leadership and the Board Treasurer, highlighting trends relevant to mission-driven decision-making.
•Track grant budgets, restricted funds, and program allocations to ensure alignment with funder requirements and equity commitments.
•Assist with payroll processing, timesheet collection, and benefits administration.
•Maintain donor and grantee records, ensuring timely and accurate gift acknowledgments and grant documentation.
•Support annual audit preparation and coordinate with external accountants.

Administrative and Operational Support
•Serve as a welcoming point of contact for community members, grantees, donors, and partner organizations.
•Manage office operations, including supplies, technology needs, and vendor relationships.
•Maintain Executive Director’s schedule and internal communications.
•Maintain organizational calendars, shared drives, contact lists, and administrative systems.
•Support board and committee meetings by assembling materials and preparing reports. Attend and take board meeting minutes.
•Provide logistical support for community events, grant-making cycles, advocacy campaigns, and research convenings.
•Assist with onboarding of new staff, interns, and volunteers, ensuring inclusive and accessible processes.
Qualifications
Education and Experience
•Bachelor’s degree in a related field or equivalent work experience
•At least three years of relevant bookkeeping, finance, and administrative experience; preferably in a nonprofit environment
Skills and Abilities
•Attention to detail; ensures consistent, accurate financial and administrative operations
•Sound judgment; handles confidential information with discretion and integrity
•Strong organizational, planning, and time management skills
•Clear and effective verbal and written communication skills
•Ability to work independently as well as collaboratively with staff, grantees, donors, volunteers, and community partners.
•Equity-centered mindset — understands how financial and administrative systems uphold justice, transparency, and community trust
•Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and QuickBooks (or similar accounting software)
Additional Information: Schedule: Monday to Friday, 20 hours per week, with flexibility.
