Position Overview
WECNYC is seeking a dedicated, detail-oriented Program Manager to oversee and strengthen our community-based programs funded through city and state sources. This role ensures smooth day-to-day program operations, compliance with funder requirements, accurate data tracking, and strong community engagement.
The Program Manager will work very closely with the Capacity Building Manager and collaborate with other WECNYC staff to ensure our Adult Education, Job Training, Food Pantry, and Social Services programs meet participation targets, remain in compliance, and deliver high-quality services to community members.
This position is part-time to start (25–30 hours per week) with a flexible schedule (some mornings and some evenings), and may transition to full-time in the future based on organizational growth and performance.
Key Responsibilities
Program Operations & Service Delivery
- Manage daily operations across WECNYC programs, with a primary focus on Adult Education and Job Training, while supporting coordination for the Food Pantry and Social Services as needed.
- Ensure program services are delivered consistently, on schedule, and aligned with WECNYC’s mission and funder expectations.
- Partner closely with the Capacity Building Manager to maintain strong systems, workflows, and staffing coverage.
Reporting, Compliance & Monitoring
- Track program performance to ensure programs are “up to numbers” (enrollment, attendance, outcomes) and meeting grant deliverables.
- Prepare accurate and timely reports for funders and ensure documentation is complete and audit-ready.
- Maintain readiness for monitoring visits, site reviews, and compliance checks.
Data Management & Outcomes Tracking
- Oversee attendance, participant files, and outcome data; maintain high-quality program records.
- Track student/participant progress and support assessment and survey administration, including BEST Plus when applicable.
Staff Supervision & Support
- Supervise and support instructors, volunteers, and program staff; provide coaching, feedback, and guidance.
- Coordinate schedules and help ensure staff have the tools and information needed to succeed.
Outreach, Enrollment & Community Engagement
- Support outreach and recruitment efforts to increase enrollment and retention.
- Represent WECNYC at community meetings, partner events, and local coalitions as assigned.
Events & Workshops
- Coordinate or support community events, job fairs, orientations, and skill-building workshops that strengthen program outcomes.
Partnership & Internal Collaboration
- Maintain strong relationships with funders, community partners, and stakeholders.
- Collaborate across internal teams to improve client experience and connect participants to wraparound supports.
Continuous Improvement
- Identify gaps and propose solutions to improve program quality, efficiency, and participant outcomes.
Additional Duties
- Perform other tasks as needed to support organizational priorities.
Qualifications
Minimum Requirements
- Bachelor’s degree in Education, Social Work, Nonprofit Management, Public Administration, or a related field OR equivalent combination of education and experience.
- 2–3 years of experience in program management (adult education, workforce development, or nonprofit programs).
- At least 1 year of experience teaching adults (literacy, ESL, or workforce development).
- Strong organizational skills and attention to detail; able to manage multiple programs and deadlines.
- Excellent communication and interpersonal skills; comfortable working with diverse communities.
- Proficiency with Microsoft Office, Google Workspace, and database/attendance systems.
- Flexibility to work a varied schedule, including some evenings and occasional weekends.
Preferred Qualifications
- 2–3 years of experience managing community-based programs funded by city/state contracts or grants.
- TESOL certification preferred.
- Experience administering BEST Plus assessments preferred.
- Bilingual skills (Spanish or Mandarin preferred).
- Knowledge of adult literacy, workforce development, and supportive services best practices.
