What are the responsibilities and job description for the Event Coordinator position at Women of Tomorrow Mentor & Scholarship Program, Inc.?
Duties & Responsibilities:
- Coordinate operations and logistics for fundraisers including luncheons, annual gala, community event, kick-off receptions, and graduation luncheon and career day.
- Develop and maintain budgets, traffic invoices for approval and payment.
- Communicate with volunteer committee members and all stakeholders.
- Coordinate site visits and tastings.
- Execute and ensure that events run smoothly on-site.
- Work with graphic designer on event material design and content such as e-vite, program, save the date, etc., and traffic to committee members.
- Create and maintain punch lists and staff assignments for all events.
- Oversee and manage silent auctions for all fundraisers – obtain and pick up donated items, enter in online auction platform and track bids.
- Utilize CRM to enter contact and gift data on sponsors, donors, in-kind donations, etc. and run reports as needed.
- Create and mail thank you letters for sponsors and donors and tax letters for patrons.
- Promote events on social media platforms.
- Maintain media archive/library of photos and videos – obtain copies of media mentions including print, video, radio, and web.
- Coordinate press releases for pre-and post-event; keep archive of press mentions.
- Manage email communications and work with appropriate Director to finalize, approve and schedule emails.
- Adhere to Women of Tomorrow® Personnel Policy at all times.
- Maintain confidentiality of Women of Tomorrow® student, mentor, staff and board personal information.
- Other tasks as assigned from time to time.
- Report to the Executive Director.
Requirements:
- Bachelor’s degree
- 2 years of related experience
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Ability to juggle multiple event timelines concurrently and adjust priorities as needed
- Attention to detail, ability to proofread and work with budgets and spreadsheets
- Creativity and high energy
- Handle unexpected challenges calmly and efficiently, providing quick and effective responses
- Ensure high standards of work are maintained despite tight deadlines and pressure
- Familiarity with creating and editing visual materials is desired
