Responsibilities
- Coordinate all aspects of domestic and international travel — flights, hotels, ground transportation, and detailed itineraries — ensuring seamless logistics from start to finish.
- Conduct research and information gathering on behalf of executives, synthesizing findings into clear briefing documents, reports, and meeting preparation materials.
- Draft, edit, and send executive-level correspondence and communications, representing leadership with professionalism and discretion across internal and external audiences.
- Serve as the primary point of contact for office operations across multiple locations, including vendor relationships, facilities coordination, supply inventory, food and beverage coordination, and building management — ensuring each site runs smoothly for every employee.
- Serve as the face of the office — welcoming visitors, managing the front desk, answering and routing incoming calls, and ensuring guests are escorted and attended to professionally.
- Support internal events, team initiatives, and cross-functional projects, and assist executives with meeting coordination and scheduling logistics as needed — stepping in wherever needed to keep the organization moving.

- All travel arrangements and briefing materials are delivered on time and error-free, with zero missed logistics for executive trips or key meetings by day 60.
- Office operations are fully owned and stable across all locations within 30 days — measurable by consistent vendor responsiveness, supply availability, and a well-maintained environment at each site.
- Executive feedback reflects high confidence in delegation — at least two or more executives actively using the EA as a trusted partner for communications and stakeholder coordination by day 90.
- 3–5 years of experience as an Executive Assistant supporting senior-level leadership in a professional, fast-paced environment.
- Exceptional organizational skills and meticulous attention to detail, with a proven ability to juggle multiple priorities without dropping the ball.
- Strong written and verbal communication skills, including the ability to draft polished executive correspondence and represent leadership professionally.
- High degree of discretion, sound judgment, and integrity when handling confidential information and sensitive organizational matters.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with travel booking and expense management platforms (e.g., Concur).
