What are the responsibilities and job description for the Maintenance Operations Assistant position at Wolfe & Associates, Property Services?
Mission of Position: Wolfe & Associates Property Services is a Property Management, Maintenance and Real Estate Brokerage company servicing Santa Barbaraand Ventura Counties. Our Maintenance Department utilizes a wide range of in-house and third-party vendors to serve the needs of our clients and residents. The Maintenance Operations Assistant position provides key facilitation and support to the Maintenance Coordinator, specifically as it relates to service requests that are distributed to vendors.
Essential Duties and Responsibilities:
· Coordinating service requests assigned to third party vendor-partners
· Communicating with vendors, fellow staff, residents, tenants, and facilities managers.
· Tracking service requests assigned to vendors to ensure proper scheduling and timely completion.
· Providing status updates to vendors, fellow staff members, and residents.
· Handling related administrative needs in AppFolio, our property management software
· Ensuring vendor work orders have proper notes, photos and compliance documents attached prior to billing.
· Reviewing notes, understanding status, and discussing continuances or items that require additional follow-up; communicating those items back to the Maintenance Coordinator.
· Assisting with the onboarding of new vendors. Monitoring on-going vendor insurance and licensing compliance
· Conduct follow-up calls with residents, tenants, and facilities staff to verify that work performed by vendors was completed to a high standard and that the work site was left clean.
· Assist the Maintenance Coordinator with calls, assigning work and other administrative tasks
Qualifications:
· Strong customer service and organizational skills
· Be great at following up – you are the type of person who doesn’t like leaving things unfinished. You check up on expectations to ensurethings happen as planned, and work to resolve loose ends.
· Interface between Maintenance Department and Vendor-Partners – You are the face of our organization as it relates to our relationship with third party vendor-partners. You understand these vendors play a critical role in our ability to provide good, quality service to our residents and clients.
· Systems Oriented – You appreciate processes and procedures, and are adept at working with software to track schedules, parts, time, open and completed work, or? Experience with AppFolio Property Manager is a plus!
· Firm but Fair – You can hold people accountable while maintaining a friendly and professional relationship.
· High Capacity – You’re comfortable handling a high volume of emails, calls and texts with a high degree of composure.
· Ability to work full-time Monday thru Friday 8 am to 5 pm and occasional overtime as needed.
Pay: $26.00 - $28.00 per hour
