Western New York Flash Academy Club Administrator Job Description
Job Title: Academy Administrator
Supervises: Office Operations Staff
Reports To: VP WNY Flash
As the Club Administrator of a growing youth soccer club, you will ensure the efficient and consistent operation of the club’s logistics, finance, administration and HR management. We are filling this position immediately.
Our current Administrator is retiring this year and will assist in the training process to set the ideal candidate up for success and a seamless transition.

Responsibilites
Financial
- Revenue projection, financial accountability and reporting
- Budget development and forecasting
- Employee & Contractor payroll forecasting
- Manage Accounts Receivable & Payable
- Manage facility and field rental contracts
- Manage a Financial Aid Program
- Manage discounts & awards
- Process all payments and bank deposits
- Manage the effective & timely collection of Club and Misc. Fees
HR Administration
- On-board employees, contractors and volunteers
- Manage & process staff documentation,contracts, requests, folders, etc.
- Review, update, and implement HR manuals and documents for employees, contractors and volunteers
- Team up with SSP HR Administrator for consistency within SSP & Flash
- Serve as the club’s Point of Contact for Infectious Diseases and Injuries
Club Programs and Infrastructure
- Website domain registration
- Maintain Google registration, organization, emails & implementation
- Communicate with Coaches, Team Managers and player families,providing consistent Club messaging
- *Participate in programs such as tryouts, tournaments, etc.
- * Initiate, organize and implement fundraisers benefiting the Club’s Financial Aid Program
- Initiate, manage and communicate seasonal software registrations for consistency & accuracy
- Team Manager liaison holding pre-season educational meetings and creating Team Accounting sheets
- Maintain a Perpetual Calendar documenting major annual events
- Manage 3rd party merchandisers and contracts
- Maintain Certificate of Insurance certificates (COI) for all facilities and fields
Office Operations
- General Office duties including maintaining office supplies, phone answering and mail
- Maintain records & contracts
- Oversees the daily workflow to ensure efficient operations
- Assist the Club’s Marketing staff with messaging to build brand awareness
- Respond to inquiries and requests
- Lead and nurture a work culture promoting open and frequent communication among staff, stimulating teamwork to accomplish desired goals and objectives
- Other duties as assigned

Requirements
- College Degree or equivalent experience in Business/Accounting
- Proficient in Google Docs and Sheets, Microsoft Office, or similar software
- Pass a background check
- Complete ‘Safe Sport’ programming
Job Type: Full-time
Pay: $40,000.00 - $50,000.00 per year

Experience:
