The Junior Portfolio Coordinator supports the Portfolio Management team by assisting with administrative, compliance, and reporting tasks across a diverse real estate portfolio. This entry-level role is ideal for candidates looking to grow their knowledge in affordable housing programs, compliance, and asset management.
Key Responsibilities:
- Assist in maintaining and updating internal tracking systems for compliance documents (e.g., SAMS/DUNS, Bond, LIHTC, HUD, RD, HOME).
- Support the collection and organization of tenant qualification documentation under supervision.
- Help prepare and submit routine reports to stakeholders (monthly, quarterly, etc.) with guidance from senior staff.
- Coordinate with nonprofit partners to gather documentation for Welfare Exemptions and assist in reviewing property tax bills.
- Provide administrative support for IRS filings (e.g., 8703s, 8609s) and state-specific tax exemption submissions.
- Assist with monitoring and documentation for annual inspections and filings with housing authorities and state agencies.
- Participate in monthly compliance meetings and maintain communication logs with property management teams.
- Check compliance documents into the Asset Management Software system.
- Collect and organize monthly resident services reports.
- Perform general administrative tasks such as scanning, notarizing, mailing, and document delivery.
- Contribute to special projects and other duties as assigned.
- 1β2 years of experience in administrative support, compliance, property management, or affordable housing (internships or volunteer experience may be considered).
- Basic understanding of affordable housing programs (LIHTC, HUD, HOME, etc.) is preferred but not required.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent written and verbal communication skills.
- Willingness to learn and take initiative in a fast-paced environment.
- Ability to work collaboratively with internal teams and external stakeholders.
- California Notary certification is a plus.
- Experience using Asset Management Software is a plus.
