What are the responsibilities and job description for the Project Controls Specialist II position at WM?
I. Job Summary
This role is responsible for leading Coupa catalogs, forms, and multiple ordering processes, as well as managing supplier enablement initiatives. The position drives cost savings projects in partnership with Category Managers and engages directly with suppliers as needed. Responsibilities include building advanced reporting, supporting customers with ad hoc projects, and providing one on one support to approximately 5,000 users while overseeing thousands of purchase orders daily. The role also leads major cross functional projects in collaboration with multiple departments.
II. Essential Duties and Responsibilities
Engage regularly with suppliers to guide them through Coupa processes and provide ongoing education and support.
Develop and run reporting across multiple systems, including Oracle and ServiceNow, and drive reporting enhancements.
Deliver advanced training to end users and create clear, user‑friendly guides and documentation.
Lead acquisition transitions and system integrations to ensure seamless procurement operations.
Continuously advance Coupa functionality across catalogs, forms, and other purchasing methods.
Oversee and maintain supplier catalogs in Coupa (punch‑out and hosted), including pricing, content, taxonomy, metadata, and lifecycle governance.
Lead pricing accuracy initiatives, including periodic audits, contract price validation, invoice and PO reconciliation, dispute resolution, and corrective action tracking.
Maintain and optimize purchase order structures, templates, approval workflows, account coding, and catalog‑to‑PO mapping to improve usability and compliance.
Build, configure, and enable non‑catalog purchase forms and workflows within the P2P platform, partnering with IT on integrations and enhancements.
Provide regular and ad hoc spend reporting to procurement, finance, and business stakeholders, identifying risks and cost‑saving opportunities.
Serve as the primary operational contact for supplier punch‑out integrations and catalog feed troubleshooting, working cross‑functionally with suppliers, IT, and Category Owners.
Drive process improvements and automation initiatives to reduce manual effort and shorten purchase order lifecycle times; document standard operating procedures (SOPs) and change controls.
Support stakeholder enablement through user training on catalog search, PO creation, and dispute management workflows.
III. Qualifications
A. Required Qualifications
- Bachelor's Degree (accredited) in Engineering, Construction Management, Project Management, or similar area of study, or in lieu of degree
- High School Diploma or GED (accredited) and four years of relevant experience
- 5 years of relevant work experience in Project Controls, Document Controls, Project Procurement (in addition to education requirement)
- Prism G2 package
