The Executive Assistant serves as a key support to the Managing Director, assisting in a wide range of business, operational, and external coordination matters. The Executive Assistant is responsible for driving cross-functional initiatives, supporting external engagements (including government and media coordination), and ensuring effective execution of key projects and events. The role also involves data gathering, basic business analysis, and preparation of materials to support decision-making. This position requires strong execution capability, adaptability, and the ability to navigate both internal and external environments.
Key Responsibilities:
Executive & Business Support
- Support the Managing Director in day-to-day business and operational matters
- Prepare reports, presentations, and briefing materials for internal and external use
- Conduct data collection, research, and basic analysis to support business decisions
- Utilize AI tools (e.g., for research, content drafting, and presentation preparation) to enhance efficiency and quality of deliverables
- Handle ad hoc tasks and special assignments with a high level of responsiveness to support business decisions.
Cross-functional Coordination
- Coordinate with internal teams (e.g., HR, Operations, Finance, Legal) to gather information and drive alignment
- Track key initiatives and follow up on action items to ensure timely execution
- Facilitate effective communication across departments
External Coordination
- Support coordination with external stakeholders, including local government, media, and community partners
- Assist in arranging meetings, site visits, and external engagements
- Support review and alignment of external communications when needed
Project & Event Execution
- Lead or support execution of key projects assigned by the Managing Director
- Coordinate planning and execution of corporate events (e.g., grand opening)
- Manage timelines, stakeholders, and deliverables to ensure successful execution
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or related field
- 3–7 years of relevant experience in project coordination, executive support, business operations, or related areas
- Familiarity with AI-assisted tools (e.g., for research, presentation preparation, or content drafting) is a plus
- Experience working in a fast-paced, cross-functional environment
- Strong organizational and problem-solving skills
