Position Overview
The Client Experience Associate plays a vital role in supporting daily office operations and creating a seamless, professional experience for clients. This position is ideal for someone who thrives working as a team member in a flexible environment where change is the norm. We are seeking a person that enjoys speaking with clients, can organize their time and tasks independently, able to exhibit follow-through with assigned tasks, and understands that small details make a meaningful difference.
This is an in-person, office-based role. Remote or hybrid arrangements are not available. Expected office hours M-Th 9:30 AM – 3:30 PM, F 9:30 AM – 3 PM
Key Responsibilities
- Greet clients and visitors in a warm, professional manner.
- Answer and manage incoming phone calls with confidence and professionalism.
- Prepare and process account paperwork, ensuring that all processing is completed.
- Investigate issues when things don’t go as smoothly as expected.
- Scan client paper documents and rename them according to office protocol.
- Process in-coming mail.
- Maintain accurate client records and assist with data entry and documentation, to ensure firm compliance obligations are met.
- Manage office mailings including birthday, special occasion, and holiday card mailings.
- Assist with office special projects as needed.
Qualifications
- Minimum of 2 years of office administration experience. Related experience in the financial industry is a plus but not required.
- A team player and “client first” attitude is a must.
- Excellent verbal and written communication skills are a must.
- Exceptional attention to detail and commitment to accuracy.
- Strong phone presence and outstanding interpersonal skills.
- Ability to complete tasks despite frequent interruptions.
- Able to maintain confidentiality of personal client information and meet compliance obligations as part of the firm’s everyday workflow processes.
- Ability to learn multiple software programs related to the investment industry. Prior experience with industry-related software is a plus.
- Proficiency with Microsoft Office (Outlook, Word, Excel).
- Ability to work in a dog friendly environment. (Yes, this is a requirement!)
- Background check will be required prior to employment.
Salary : $20 - $23
