Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls with clarity and friendliness.
  • Maintain organized filing systems, both physical and digital, including data entry, document proofreading, and record keeping.
  • Support calendar management by scheduling appointments, meetings, and coordinating events using Google Workspace and Microsoft Office tools.
  • Assist with bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to ensure accurate financial records.
  • Provide exceptional customer service by responding promptly to inquiries via phone or email, supporting clients and staff with professionalism.
  • Perform clerical duties such as photocopying, faxing, mailing, and managing office supplies to keep the workspace efficient and well-stocked.

Qualifications

  • Proven experience in office management or administrative support roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Excellent computer literacy with the ability to learn new software quickly.
  • Strong typing skills combined with keen proofreading abilities for document accuracy.
  • Experience handling multi-line phone systems and practicing effective phone etiquette.
  • Bilingual abilities are highly desirable to support diverse client needs.
  • Previous experience in customer service or as a receptionist (dental or medical receptionist experience is a plus).
  • Familiarity with clerical tasks such as filing, data entry, calendar management, and bookkeeping using QuickBooks or similar tools.
