Introduction

The Department of Health Services (DHS) , Mendota Mental Health Institute (MMHI) is recruiting to fill the Rehabilitation Services Program Assistant that will typically work Monday-Friday with daytime hours.

MMHI is located on the north side of Madison and offers a beautiful campus environment, convenient free parking and an onsite workout facility. MMHI is an inpatient psychiatric facility, with one outpatient program, specializing in serving patients with complex psychiatric conditions, often combined with certain problem behaviors. MMHI is an integral part of the entire Wisconsin mental health service delivery system.

Position Summary

As the Rehabilitation Services Program Assistant, you will perform work across multiple departments to assure compliance with applicable standards and be responsible for the development, oversight, and maintenance of the group scheduling system for the entire Institute including but not limited to:

  • attending trainings for the group scheduling system,

  • scheduling of patient group appointments for multiple departments,

  • maintaining the group scheduling system for Institute use.

You will also manage departmental and institutional regulations, policies and procedures; monitor budgets; serve as a contact person for community-based services and programs; conduct staff scheduling records in various treatment areas; and oversee the scheduling process for video conferencing.

Salary Information

Starting salary is $22.31 per hour (approximately $46,400 per year). A 12-month probationary period is required.

Pay for current or former state employees is set based upon the rules that apply to compensation for the applicable transaction. This position is classified as an Operations Program Associate and is in pay schedule/range is 02/11.

Job Details

All applicants will be required to allow DHS to conduct a background check to determine whether the circumstances of any convictions may be related to the job being filled.

All appointees will be required to receive a TB test, which will be administered by MMHI or medical personnel approved by the facility prior to their start date.

DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire. DHS is not an E-Verify employer nor a STEM-OPT eligible employer.

Qualifications

Minimally qualified applicants will have all of the following:

  • Experience with office/clerical practices (e.g., filling documents, maintaining files, answering and routing phone calls, preparation of correspondence, etc.).

  • Experience working with Microsoft Office applications (e.g., Excel, Access, Word, Outlook, etc.), performing duties such as creating spreadsheets to track data, entering data into a database, preparing written correspondence, responding to emails, etc.

  • Experience providing customer service (e.g., resolving complaints, answering internal and external partner questions/inquiries, answering phone calls, and forwarding as needed, etc.).

  • Experience preparing and maintaining schedules in an electronic format.

Well-qualified applicants will also have at least one of the following:

  • Experience working with confidential information and maintaining confidentiality of sensitive information.

  • Experience sorting, analyzing, and interpreting data.

  • Experience in a leadership role training or providing direction to other staff.
