Fitness Manager – Job Description

The goal of WAC’s Fitness department is to help our members achieve their health and fitness goals. We offer a wide variety of options to meet the many needs and interests of members, ranging from new to experienced to special populations. As the Fitness Manager, you are responsible for all aspects of Personal Training, Small Group Training, Massage and Nutrition. You ensure that your Fitness team is introducing themselves to members and creating enjoyable fitness experiences. You lead the Fitness department’s recruiting, training, operations, financial profitability and ongoing Team Member skill development. You help your Team Leads grow programming participation and revenue. This is not a behind the scenes management position – you are on the front-line letting your personality shine, personal training and teaching classes. You have the opportunity to develop future leaders.

Key Responsibilities

Leadership

  • Display a member first attitude by training and holding Team Members accountable, not only for being raving fans of WAC, but also for creating raving fans; we are all responsible for attracting and retaining members.
  • Be what you want to see – live the mission and core behaviors.
  • Provide ongoing coaching to Fitness Team Members to take action and achieve operational goals.
  • Identify, communicate and delegate responsibilities to Fitness Team Members to ensure smooth club operations – this starts with a daily club walk-through of all Fitness areas.

Team Building

  • Build and mentor a winning Fitness team.
  • Pick the best people – lead in-club Fitness recruiting efforts.
  • Paint a picture and show Fitness Team Members a path – inspire the best to exceed their potential at WAC.
  • Provide great training – actively learn, apply and share Team Member best practices.
  • Give Fitness Team Members regular feedback and ask great questions.
  • Catch people doing things right and hand out WAC Bucks.

Income Generation, Planning & Execution

  • Develop goals for all programs and events.
  • Monitor and manage Fitness participation levels to ensure member results and club profitability.
  • Constantly review all programs and identify opportunities for improvement.
  • Manage schedules for all Fitness departments. Be mindful of peak vs. non-peak seasons.
  • Lead 90-day reviews and evaluations for Team Leads; Participate in reviews for Fitness Team Members.
  • Create annual calendar for Fitness Team Members, which includes club meetings, programs and events.
  • Communicate clearly, concisely and accurately by utilizing every major form of communication. Be available.
  • Regularly communicate with the Director of Fitness.
  • Responsible for everything in the Fitness department.
Qualifications:

Fitness Manager – Performance Expectations

I. Daily Operations

  1. Communicate effectively through a variety of mediums.
    1. Send WAC Connections communication emails
    2. Be available for communication 24 hours a day, seven days a week.
    3. Follow up on all programming-specific “Contact Us”, “Suggestion Box” and social media communication.
    4. Create “fitness-specific annual calendar”.  Integrate it with the “corporate annual planning guide”.
  2. Execute a daily walk-through of the facility, especially the Fitness areas, to ensure proper conditions.
  3. Encourage member rapport by being visible and interacting regularly with members.
  4. Monitor the day-to-day operations of the Fitness department, which includes Personal/Small Group Training, Massage and Nutrition.
  5. Conduct daily coaching and training on WAC mission and core behaviors.
  6. Complete weekly Manager-On-Duty shifts as needed by the General Manager. 
  7. Attend all Leadership Meetings. Communicate necessary Fitness information to front-line Team Members.
  8. Lead Fitness meetings; help coordinate and facilitate meetings that are led by Massage Team Leads.
  9. Attend corporate Fitness meetings, which are led by the Director of Fitness.
  10. Continually attend a variety of the in-club programs to ensure a front-line evaluation of the department.
  11. Communicate effectively through a variety of mediums.
    1. Send WAC Connections announcements.
    2. Be available for communication during all hours. When necessary, designate an assistant or MOD.
    3. Follow up on all Fitness-specific “Contact Us,” suggestion box and social media communication.
    4. Create Fitness-specific annual calendar and integrate it with the corporate annual planning guide.

II. Team

  1.   Recruit, interview, train, coach and develop Team Members for all Fitness departments.

  2.   Look for potential Fitness applicants from other in-club departments and respective WAC locations.

  3.   Ensure that the WOW Training process is completed for all Fitness new-hires.

  4.   Make sure 90-day review and ongoing evaluations are scheduled and completed for Fitness Team Members.

  5.   Responsible for all disciplinary actions within Fitness department, including possible dismissal.

  6.   Make recommendations for Fitness Team Member compensation increases.

  7.   Implement all WAC Team Member policies and procedures.

  8.   Pursue ongoing personal and professional development and share what you learn with others.

  9.   Delegate tasks to Team Leads when necessary.

 10.  Assist in finding substitutes for Fitness Team Members in case of emergency or schedules days off.

 11.  Work a variety of hours to build solid relationships with Team Members and catch people doing things right.

III. Safety

  1. Know and teach the Safety Plan, Emergency Action Plan and Pool Troubleshooting Guide.
  2. Oversee and inspect Fitness areas for cleanliness and safety; regularly organize equipment and storage.
  3. Follow all month end, insurance, liability and incident report procedures.
  4. Report broken equipment and building concerns immediately to General Manager and Maintenance department.

IV. Financial

  1. Develop strategies to increase participation levels in all Fitness departments.
  2. Responsible for Fitness purchases and inventory.
  3. Monitor and manage Fitness schedules during peak and non-peak seasons.
  4. Report monthly participation numbers to General Manager and Director of Fitness.
  5. Audit and approve payroll twice per month. Regulate number of hours worked with respect to Affordable Care Act.
  6. Review Fitness areas of monthly profit and loss statement with General Manager or Director of Fitness.

V.  Income Generation

  1.  Oversee all sales and marketing aspects of Fitness departments.

  2.  Teach Fitness Team Members how to promote programs and events, which leads to member participation.

  3.  Train Team Members how to up-serve or recommend programs that members might be interested in.

  4.  Participate in community organizations and positive social media to actively promote club.

VI. Fitness

  1.  Attend and evaluate current programs and classes with respect to profitability and exceeding member expectations.

  2.  Develop strategies to increase participation levels in all programs and classes.

  3.  Participate in the planning of special events and encourage departments to promote member participation.

  4.  Make sure departments are promoting and following all current program policies, and procedures.

  5.  Act as a liaison between local media and the club about upcoming programs and events.

  6.  Develop and manage fitness schedule.

VII. New Member Integration & Retention

  1. Welcome and connect with new Fitness participants.
  2. Participate in Member Services and Fitness daily or weekly huddles.
  3. Integrate new members into the club via programs and activities, such as Fit Sessions and Try-It Series.
  4. Assist in scheduling members into retention program inquiries; ensure members receive follow-up incentives.
  5. Connect members to other members in all programs.
  6. Be personally committed to fitness by actively going through the retention program sessions.
