JOB DESCRIPTION
POSITION:
OFFICE SUPPORT STAFF PERSON
REQUIREMENTS:
Under the direction of the Office Manager, responsible for performing assigned accounting duties and responsibilities.
Respond to customers’ in-person and telephone inquires, request, or complaints relative to billing, collection, etc. Respond as authorized, referring unresolved problems to Office Manager or Superintendent.
Prepare bank deposits and deliver mail to post office.
Apply the ability to follow directions and efficiently multitask.
Perform diversified accounting functions to include the preparation and maintenance of the District’s financial records. Prepare the monthly income statements and balance records. Prepare the monthly income statements and balance sheet, general ledger, credit reports, and related records. Maintain programs on computer update and modify as required. Prepare and mail all billing for service rendered.
Reconcile the bank statements monthly. Transfer funds to money market account. Maintain records for liens and water shut offs, and prepare necessary forms to perform same.
Perform staff functions during periods of absence. Maintain vacation, sick leave and accident insurance claims. Prepare and process District payroll and prepare and maintain related reports and records.
Preparation of various State and Federal reports, PUC reports, and assist in date compilation in support of rate increase requests, bond issues, and required documentation relative to District’s past and present financial status. Assist in preparation of annual report.
Recommend new office methods and procedures.
Perform related duties as assigned.
BASIC KNOWLEDGE:
Duties involve a broad background in accounting, office systems, office equipment, computer systems, billing programs, accounting programs, and efficient in Microsoft Office.
EXPERIENCE:
At least one year experience in public or utility accounting and/or related field of employment is necessary. Experience with Excel, Word, and adding machine is also a must.
INDEPENDENT ACTION:
Functions independently within broad scope of established District policies and procedures; refers to Office Manager only where clarification or exception to established policy may be required.
