Winter Growth is a non-profit providing community-based services for seniors and adults with disabilities that support them in achieving their highest potential for independence, dignity, and life satisfaction.
Essential Duties and Responsibilities
- Administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
- Maintains inventory of office supplies; orders new supplies as needed.
- Maintains office files; implements an efficient system for other staff to access files and records.
- Performs other related duties as assigned.
- Liaison with copier, phone, internet, and cable providers in Center when experiencing problems.
- Manage licensing paperwork for Center as directed.
- Create housing and daycare charts for new clients.
- Complete annual documentation as directed by Center Director (CACFP, Senior Nutrition).
- Complete daily attendance, including meal attendance.
- Review completed attendance and nutrition reports for accuracy and follow-up on discrepancies, ensuring corrections are completed.
- Email daycare family updates, especially during the first week/month of attendance.
- Provide general support to visitors
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Assist in the onboarding process for new hires
- Partner with human resources to update and maintain office policies as necessary.
Basic Qualifications
- Extensive knowledge of office management procedures.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office (MS Excel and MS Outlook, in particular)
- Hands on experience with office machines (e.g. fax machines and printers)
- Attention to detail and problem solving skills
- Knowledge of Office Administrator responsibilities, systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- A creative mind with an ability to suggest improvements
Education
- High school diploma or equivalent required; Associates degree in office administration or related field preferred.
- At least three years of administrative and clerical experience required.
