Service Coordinator
Position Overview
We are seeking a dependable, organized, and customer-focused Service Coordinator to assist our Service Manager with the daily coordination and administrative functions of our service department. This position will help ensure service calls are scheduled efficiently, customer communication is handled promptly, service documentation is complete and accurate, and warranty claims are processed in a timely manner.
The ideal candidate is detail-oriented, able to prioritize multiple tasks, and comfortable communicating with customers, technicians, vendors, and internal staff.
Key Responsibilities
- Assist the Service Manager with daily service department activities and administrative duties.
- Assist with scheduling service calls, maintenance appointments, inspections, and other service-related activities.
- Respond to customer phone calls and emails in a professional and timely manner, providing assistance with scheduling, service status updates, and other service-related questions.
- Review completed technician job write-ups for accuracy, completeness, and required documentation.
- Follow up with technicians and/or the Service Manager when additional information is needed on completed work orders.
- Assist with preparing and submitting manufacturer warranty claims and maintaining required warranty documentation.
- Track the status of warranty claims and follow up as necessary.
- Assist with maintaining accurate service records, work orders, and customer information.
- Coordinate with the Service Manager, technicians, parts department, and other departments to help ensure service work is completed efficiently.
- Assist with customer follow-up and resolving routine service-related issues.
- Maintain organized electronic and paper records as required.
- Provide general administrative support to the Service Department.
- Perform other duties and responsibilities as assigned by management.
Qualifications
- Previous experience in a service, office, scheduling, or customer service environment preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Professional and courteous telephone and email communication.
- Strong attention to detail and accuracy.
- Ability to prioritize work and manage multiple tasks in a fast-paced environment.
- Comfortable working with computers, email, Microsoft Office, and other business software.
- Ability to work independently while also functioning effectively as part of a team.
- Mechanical or equipment service experience is a plus but not required.

The successful candidate will be someone who is organized, dependable, detail-oriented, and customer-focused, with the ability to keep up with a busy service department and follow tasks through to completion. A positive attitude and willingness to learn are important to this position.
Schedule: Full-Time, Monday–Friday 7am-4pm
Reports To: Service Manager
Pay: $50,000.00 - $55,000.00 per year
