Summary of Position Responsibilities: This position is responsible for benefits coordination, hiring coordination, and supporting the Director of Finance and Operations with human resources needs in compliance with all applicable federal and state laws, board policy and school district collective bargaining agreements and employee benefit programs.
The HR Specialists will work alongside the Fiscal Services team and in collaboration with other district, departmental, and school-based leaders. The position assists in maintaining a professional, friendly, positive and respectful work atmosphere by approaching internal and external interactions and collaborations with a strong customer service orientation.
Essential Duties and Responsibilities:
Benefit Coordination:
Administer statutory leave programs including ADA, FMLA and VPFLA
Administer employee leave programs as provided by the collective bargaining agreement, employment contracts and/or board policy
Manage and administer school district workplace safety and workers compensation program
Manage and administer school district employee benefit programs including but not limited to health, dental, long term disability and life insurance plans, section 125 plan, 403b plan, cash in lieu benefits and employee assistance program
Administer COBRA benefits
Data entry related to administration and management of benefit programs
Serve as primary contact for employee benefit providers
Reconcile benefit vendor bills
Manage and administer employment verifications and health insurance declarations
Process Unemployment claims
Prepare and distribute sick bank forms and maintain sick leave balances
Prepare state and federal reports as directed by the Director of Finance and Operations
All other duties as assigned by the Director of Finance and Operations and/or Superintendent of Schools
Hiring Coordination:
Create and implement effective recruitment strategies that are aligned with the direction and vision of the organization
Manage, coordinate and implement the District’s criminal record and background check systems ensuring compliance with federal and state laws and District requirements
Manage the employment offer process with hiring manager, and serve as the first line of human resource communication with new candidates being recommended for hire
Schedule and conduct new hire meetings
Create and maintain employee personnel files
Collect and process new hire paperwork
General HR Support:
Manage and maintain school district job descriptions under the direction of the Director of Finance and Operations and Superintendent of Schools.
Maintain employee information in appropriate database
Prepare seniority lists
Assist other HR and payroll personnel with special projects as requested
