Full-Time
Pay: $18.00 - $26.00 per hour

POSITION SUMMARY:
The Operations Coordinator will work closely with the Branch Manager, Inside Sales, technicians, vendors and customers to assist with several aspects of company operations. The Coordinator is responsible for organizing and coordinating the office operations and procedures to ensure organizational effectiveness and efficiency. Duties may entail a variety of operational tasks, including assisting with warehouse operations, supporting Inside Sales, or supporting the Service efforts by coordinating CSR’s or timekeeping logs and invoices. Other duties may include maintaining office records and assisting with safety compliance for service personnel. The right candidate will have great customer service and communication skills.

JOB QUALIFICATIONS:
  • Minimum high school diploma or GED is required.
  • 1 years of experience in office administration.
  • Must be self-motivated, detail-oriented, energetic and highly organized.
  • Excellent communication and interpersonal skills, and the ability to prioritize and handle multiple projects are required.
  • Proficiency in Microsoft Office is required, as well as, intermediate computer skills.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
  • Engages in duties related to Inside Sales Support and other sales efforts.
  • Engages in duties related to warehousing/shipping and receiving.
  • Engages in duties related to branch operations and efficiencies.
  • Serves as support person for Branch management team.
  • Relay work orders, messages, and information to or from work crews, supervisors and field inspectors.
  • Create and input service orders for P21. Enter labor hours into service orders.
  • May assist with collecting and dispatching CSRs and timesheets.
  • Send invoices using SharePoint.
  • Assist with budget tracking.
  • Assist HR with new employee on-boarding.
  • May administer safety meetings and collate vehicle inspections.
  • May administer the FR clothing lease program.
  • Perform general office duties such as answering the phone, processing mail, data entry, maintaining calendars and organizing and maintaining paper and electronic files.
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Order office supplies and ensure supply stations are stocked and equipment such as printers and scanners are in working order at all times.

OTHER JOB FUNCTIONS:
  • Must understand and comply with all safety rules and company policies.
  • Attend required safety training classes and maintain necessary certifications.
  • Maintain professional behavior with vendors, customers, employees, and management.
  • Keep management informed about customer issues, personnel issues, and workflow issues.
  • Contribute to company and service goals through a team effort and by achieving results as needed.
  • Handles sensitive and confidential issues, including tracking and coordination.
  • Conduct all business activities in accordance with Winn-Marion policies.
  • Able to meet deadlines.
  • Checks and responds to all company communications on all scheduled workdays, including voice mail, emails, and text messages. Makes sure that old voice mails are cleared regularly so that the mailbox does not get full.
  • Complies with all applicable Company safety requirements.
  • Perform other duties as assigned.

WORK CONDITIONS:
  • Able to sit and work at computer keyboard for extended period.
  • Able to perform general office administrative activities of copying, filing, and using the telephone.
  • Able to lift and move up to 25 pounds on occasion.
  • May require occasional travel by air or vehicle to out of state locations when requested by Company. Travel occasionally by conventional means to branch offices and locations as necessary.
  • Maintain regular and on-time attendance.
  • Hours may exceed 40 hours per week.
