Human Resources Assistant

We are looking for a Human Resources Assistant to join our team in Woodbury, NY. This role supports the Human Resources department and is 100% in-office.
Responsibilities;
- Play a key role in supporting and driving recruitment efforts, including creating and managing job postings, actively reviewing and screening candidates, coordinating and scheduling interviews, and assisting with reference checks and background screenings to ensure a smooth and efficient hiring process.
- Review new hire documentation for completion and accuracy and prepare for payroll system entry.
- Set up orientations for new hires and order business cards.
- Support and enhance recruitment and HR operations by leveraging AI tools and technology to streamline processes, improve candidate screening, and drive more efficient, data-informed hiring and benefits administration.
- Monitor and manage new hire health benefits onboarding, clearly communicating eligibility details to HR representatives across multiple locations, providing enrollment links, and performing regular benefit reconciliations to ensure accuracy and compliance.
- Reconcile benefit invoices to confirm successful enrollment and terminations. Track and follow up on due credits.
- Make sure all benefit invoices are prepared for payables and proper documentation is received in a timely fashion to be submitted for processing. Follow up as necessary.
- Run and update weekly and monthly data reports in Excel and suggest improvements.
- Act as a backup for payroll processing for 250 associates.
- Understand company policies and assist with associate inquiries.
- Help coordinate company events and communications.
- Track unemployment and workers comp cases and ensure timely response and compliance.
- Perform other HR and administrative tasks, as assigned.
Requirements & Qualifications
- Recruitment and Benefit administration experience preferred.
- Confidentiality is crucial and must have strong work ethics.
- Professional demeaner, a positive attitude, and ability to always remain composed.
- Must be computer savvy and proficient in MS Office, particularly Word and Excel (formatting, formulas, etc.), as well as editing PDF files.
- Experience with Outlook, calendar management and event planning a plus.
- Experience with Paylocity a plus.

Physical Requirements
Required to stand, walk and sit; talk or hear, both in person and by telephone; use hands to finger, handle or feel objects or controls; reach with hands and arms. Regularly required to stoop, kneel, bend, crouch and lift up to 25 pounds.

Salary : $55,000 - $60,000
