WingatePower is a locally owned power-solutions company serving Charleston and the surrounding Lowcountry. We specialize in Generac generator sales, installation, preventive maintenance, diagnostics, repair, monitoring, and warranty service.

We support our customers throughout the generator’s entire life—from the initial consultation and installation through ongoing maintenance and emergency service. We are looking for a dependable, highly organized Service & Maintenance Coordinator who can keep our customers, technicians, schedules, and work orders moving in the same direction.

Position Summary

The Service & Maintenance Coordinator is responsible for coordinating WingatePower’s service and preventive-maintenance operations.

This position receives and prioritizes service requests, schedules technicians, creates and tracks work orders in FieldPulse, maintains customer information and follow-up activity in HubSpot, coordinates parts and job readiness, and keeps customers informed throughout the service process.

The right person will be organized, calm under pressure, comfortable learning technical information, and committed to closing the loop with customers and technicians.

Primary Responsibilities

  • Answer and coordinate incoming maintenance, repair, warranty, alarm, and troubleshooting requests.
  • Gather complete information about the customer, generator, reported symptoms, service history, and urgency.
  • Create, assign, schedule, and track service and maintenance work orders in FieldPulse.
  • Coordinate daily schedules and arrival windows with service technicians and customers.
  • Confirm that technicians have the necessary job information, equipment details, parts, and access instructions.
  • Monitor work-order progress and follow up on incomplete or delayed assignments.
  • Keep customers informed about scheduling, technician arrival, delays, findings, repair recommendations, parts, and next steps.
  • Review completed work orders for technician notes, photographs, labor, parts, recommendations, and unresolved items.
  • Coordinate preventive-maintenance visits and help ensure maintenance customers are serviced on schedule.
  • Track upcoming, completed, missed, and overdue maintenance appointments.
  • Help manage maintenance-agreement renewals and customer follow-up through HubSpot.
  • Maintain accurate customer, generator, service, and communication records.
  • Coordinate parts ordering and availability with technicians and vendors.
  • Assist with Generac warranty-service documentation and follow-up.
  • Support remote-monitoring follow-up and contact customers when generator alerts or service needs are identified.
  • Escalate safety concerns, repeat failures, unusual technical issues, warranty disputes, and serious customer concerns to management.
  • Coordinate completed work orders with the office and accounting team for invoicing through QuickBooks.
  • Help improve service procedures, customer communication templates, scheduling practices, and FieldPulse workflows.

Software and Systems

This position will use:

  • FieldPulse for scheduling, dispatching, work orders, job documentation, technician coordination, and service history.
  • HubSpot for customer relationship management, follow-up, maintenance opportunities, and customer communication.
  • QuickBooks as part of the invoicing and accounting handoff.
  • Email, telephone, text messaging, shared documents, and manufacturer or vendor portals.

Previous FieldPulse or HubSpot experience is preferred but not required. However, applicants must be comfortable learning new software and maintaining accurate digital records.

Qualifications

  • Experience in service coordination, dispatching, scheduling, customer service, field-service administration, maintenance coordination, or a similar position.
  • Strong organizational and time-management skills.
  • Ability to manage multiple technicians, customers, work orders, and changing priorities.
  • Excellent telephone, written, and interpersonal communication skills.
  • Strong attention to detail and documentation.
  • Ability to remain calm and professional when customers are experiencing outages, equipment problems, or scheduling concerns.
  • Comfortable holding technicians and team members accountable for notes, photographs, documentation, and work-order completion.
  • Able to recognize when an issue requires management or technical escalation.
  • Comfortable working with CRM, scheduling, dispatch, and accounting software.
  • Dependable attendance and consistent follow-through.
  • Ability to protect confidential customer and company information.
  • High school diploma or equivalent required.

Preferred Experience

  • FieldPulse, HubSpot, or comparable field-service and CRM software.
  • Generator, electrical, HVAC, plumbing, appliance repair, construction, or other skilled-service industry.
  • Preventive-maintenance scheduling or service-agreement administration.
  • Technician dispatching and route coordination.
  • Warranty claims, parts coordination, or equipment-service documentation.
  • QuickBooks or invoicing workflow experience.
  • Familiarity with Generac generators or standby power systems.

Generator experience is helpful, but an organized service coordinator with strong customer-service skills and the ability to learn technical information will also be considered.

A successful Service & Maintenance Coordinator will ensure that:

  • Every service request is acknowledged and documented promptly.
  • Every active work order has an assigned owner, current status, next action, and due date.
  • Technicians receive complete, accurate information before dispatch.
  • Customers receive timely and professional updates.
  • Preventive-maintenance visits are completed on schedule.
  • Completed work orders contain the information needed for service history, warranty support, and invoicing.
  • Overdue work, repeat visits, unresolved issues, and customer concerns are identified early.
  • FieldPulse and HubSpot records remain accurate and current.
  • Commitments are followed through to completion.
