Purpose of Job:
|
|
Performs secretarial support pertaining to the administrative functions of the school office.
|
|
Primary Job Duties/Responsibilities: The following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned as needed.
|
|
General Responsibilities/Essential Functions:
- Organize and maintain an efficient office that handles a variety of tasks for the administration, faculty, students and parents of the school
- Perform secretarial and clerical tasks of a varied nature. Many tasks will require a thorough understanding of school and district processes with the ability to use proper judgment within the scope of the authority granted by the principal.
- Register students, secure appropriate student records, maintain confidential student records, and transfer records for students moving to other schools
- Compile/type daily absentee lists, computing dismissals and tardies
- Write tardy slips and dismissals for students
- Enroll and drop students, prepare and complete withdrawal sheets, update addresses. Notify teachers, library, technology, cafeteria to ensure all materials are returned and fees are paid in full.
- Prepare attendance reports
- Maintain a calendar of events and use of facilities
- Provide assistance to students, staff, parents, and visitors entering office
- Monitors entry of visitors to ensure security and safety of students and staff
- Frequent dissemination of procedures to parents and school personnel is required, responding to frequent telephone inquiries, relaying or recording messages accurately to or for appropriate persons
- Maintains a variety of electronic and/or manual records, files, databases
- Provide a secretarial support for immediate supervisors as directed
- Must comply with federal, state and local statutes and regulations, school board policies and administrative regulations, and school level policies and procedures
- Process incoming and outgoing material
- Perform delegated nursing duties (not medical procedures) in the nurse’s absence
- Ensure that the use of the district’s resources (time, money, people) are used in the most strategic and effective way possible

Other Duties and Responsibilities
|
- Project a positive image of the LSSD at all times and support district goals
- Maintain a high level of ethical behavior and confidentiality of district information
- Support the effective delivery of a high quality of education for all students
- Provide exceptional levels of professional support and service to staff and public
- Monitor the Lebanon Special School District system radio for any issues that may need immediate attention
- May operate a motor vehicle to conduct various work activities
- Successful completion of Criminal Justice fingerprint/background process and drug screen
- Appropriate Attendance Record
- Dress neatly and appropriately, according to system staff dress code

Qualifications: To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
|
- High school diploma (post-secondary education preferred)
- 1-3 years secretarial/administrative support
- Any equivalent combination of education, training and experience which provides the requisite knowledge, skills and abilities for the job
- Have knowledge of office procedures, good secretarial skills, typing, bookkeeping, use of copy machine, or any office machines used by the individual offices
- Ability to function in a variety of word processing, database and spreadsheet programs
- Must possess excellent organizational skills and interpersonal skills, and have a high attention to detail with the ability to handle multiple tasks at once and a desire to complete tasks accurately, timely and with an emphasis placed on customer service and collaboration
