Position Summary
Winfield Properties is seeking an experienced Property Manager to oversee the day-to-day operations, financial performance, maintenance activities, and capital improvement projects across a portfolio of multifamily, retail, and office properties throughout New Jersey.
The ideal candidate is a highly organized and service-oriented professional with strong financial acumen, project management experience, and a hands-on approach to property operations. This individual will serve as the primary point of contact for tenants, residents, vendors, maintenance personnel, and ownership while ensuring properties are maintained to the highest standards and operating efficiently.
Essential Duties & ResponsibilitiesTenant & Resident Relations
Serve as the primary liaison between tenants, residents, ownership, maintenance staff, and third-party vendors.
Respond to and resolve tenant and resident concerns in a professional and timely manner.
Maintain positive relationships with commercial tenants and residential residents.
Communicate property updates, project schedules, maintenance notices, and community information.
Assist with move-ins, move-outs, lease administration, and tenant coordination as needed.
Property Operations & Maintenance
Oversee daily operations of assigned multifamily, retail, and office properties.
Manage maintenance requests from initiation through completion.
Coordinate and supervise internal maintenance staff and third-party contractors.
Ensure prompt response to routine, urgent, and emergency service requests.
Conduct regular inspections of buildings, common areas, grounds, and tenant spaces.
Identify maintenance deficiencies and implement corrective action plans.
Ensure all properties remain safe, clean, attractive, and compliant with applicable regulations.
Financial Management
Prepare annual operating budgets and assist with long-term capital planning.
Review monthly financial statements and budget-versus-actual reports.
Analyze operating variances and provide recommendations to improve financial performance.
Review and approve vendor invoices for accuracy and budget compliance.
Monitor accounts receivable, rent collections, and delinquency reports.
Coordinate collection efforts and recommend action on past-due accounts.
Identify opportunities to reduce operating expenses and improve efficiencies.
Assist with cash flow forecasting, financial reporting, and year-end budgeting processes.
Support CAM reconciliations and expense recoveries for commercial properties.
Capital Projects & Construction Management
Develop project scopes, budgets, and schedules for capital improvements and tenant fit-outs.
Solicit bids, evaluate proposals, and recommend contractor selections.
Perform bid leveling and comparative analysis of vendor proposals.
Manage construction contracts, change orders, and project budgets.
Oversee contractors to ensure projects are completed on time, within budget, and according to company standards.
Coordinate inspections, project closeouts, punch list completion, and final documentation.
Vendor Management
Establish and maintain relationships with contractors, service providers, and vendors.
Negotiate pricing and service agreements.
Monitor vendor performance and service quality.
Ensure vendors maintain proper licensing, insurance, and contract compliance.
Coordinate preventative maintenance programs and service schedules.
Compliance & Reporting
Conduct routine property inspections and document findings.
Ensure compliance with local, state, and federal regulations, including Fair Housing requirements.
Prepare regular operational and financial reports for ownership.
Monitor risk management, safety procedures, and property compliance initiatives.
Maintain accurate property records and documentation.
Required Knowledge, Skills & Abilities
We are seeking a motivated professional who takes ownership of their portfolio, communicates effectively, and can successfully balance operations, financial management, maintenance oversight, and project execution.
Qualifications
Minimum of five (5) years of property management experience.
Experience managing multifamily, retail, office, or mixed-use properties.
Proven experience preparing operating budgets and managing property financial performance.
Experience reviewing invoices, monitoring accounts receivable, and analyzing financial reports.
Strong understanding of building systems, maintenance operations, and vendor management.
Experience overseeing capital improvement and construction projects.
Excellent customer service, communication, and conflict-resolution skills.
Strong organizational and time-management abilities.
Knowledge of Fair Housing laws and landlord-tenant regulations.
Preferred Qualifications
Experience managing a diversified portfolio consisting of multifamily, retail, and office assets.
Experience with CAM reconciliations and commercial lease administration.
Experience with tenant improvement projects and contractor management.
Familiarity with bid leveling, procurement processes, and construction contract administration.
Experience with property management and accounting software platforms.
