Position Summary
The Insurance Claims Coordinator / Customer Communication Specialist is responsible for initiating insurance claims, managing early stage carrier communication, and serving as the homeowner's primary point of contact during the intake and inspection phase. This role is critical to delivering an exceptional customer experience by ensuring homeowners are never left in the dark and that inspections, schedules, and claim statuses are communicated clearly and proactively.
The Coordinator also plays a key role in preventing unnecessary appraisals by leveraging policy knowledge, building code references, and internal best practices.
Primary Role
- Own the claim intake and inspection coordination process
- Ensure clear, proactive, and consistent communication with homeowners and internal teams
- Set the foundation for a smooth claim process by preventing delays, confusion, and escalation
Key Responsibilities
- Initiate and set up insurance claims accurately
- Verify policy details including coverage type, deductibles, endorsements, and code coverage
- Track adjuster assignments and inspection dates
- Coordinate inspections with homeowners and internal teams
- Proactively communicate inspection updates, reschedules, and claim status
- Follow up on initial claim scopes and escalate issues internally as needed
- Support internal teams with documentation and policy details to prevent claim delays
- Use policy knowledge and building code references to support coverage arguments
- Maintain accurate, organized, and carrier ready claim records
- Deliver excellent customer service and a positive homeowner experience
