The Sales & Marketing Coordinator plays a critical execution-and-support role. This person will help manage sales activities, coordinate marketing operations, organize trade shows and events, maintain CRM data, and ensure follow-through on key projects. You will work closely with the CEO, Sales Director, and Marketing Manager, helping the company stay organized, efficient, and well-prepared for sales growth.

Qualifications:
Required
· 2 years experience in sales support, administrative support, marketing coordination, or similar role.
· Strong organizational skills and excellent attention to detail.
· Proficiency with Microsoft Office/365 (Excel, Teams, Outlook, PowerPoint).
· Ability to manage multiple projects and meet deadlines.
· Strong written and verbal communication skills.
· Comfortable in a fast-paced, evolving work environment.
Preferred (Not Required)
· Experience with CRM systems
· Experience with coordinating trade shows or events.
· Familiarity with fuel distribution, transportation, logistics, or retail operations.
· Basic understanding of project coordination or vendor management.
Essential Duties:
Sales Support
· Maintain and update the company CRM
· Organize and manage lead lists for gas stations, fleet customers, and commercial accounts.
· Assist sales team with follow-up tasks and scheduling.
· Conduct prospect research
· Coordinate sales appointments, site visits, and customer communication.
· Organize documents, photos, and data for opportunities and projects.
Marketing Operations
· Coordinate printing of brochures, postcards, signage, and physical marketing materials.
· Execute direct mail campaigns (lists, vendor communication, mail house coordination).
· Manage distribution of marketing materials to stores, accounts, and the sales team.
· Upload content and website updates provided by the Marketing Manager.
· Maintain organized and up-to-date marketing asset folders.
Event & Trade Show Logistics
· Coordinate all logistical details for trade shows and events in California
· Book booths, order materials, manage shipping, organize booth setups.
· Prepare event packets, badges, giveaways, and lead forms.
· Record and route leads gathered from events.
· Attend all events
Data, Reporting & Administrative Support
· Build and maintain databases for prospects, fleets, and construction projects.
· Assist with monthly reporting, tracking KPIs, and updating dashboards.
· Assist with internal project coordination across operations and leadership.
· Support documentation for branding upgrades, tank installs, and construction projects.
This is a regular, full-time position with consideration for part-time as well.
The starting salary range for this role is $50,000–$70,000 per year (depending on hours & experience)
During training, you will start at a reduced salary temporarily that goes up to your normal salary once you have been trained. The training process can take 2-6 weeks depending on experience and ability to grasp the tasks and overall position.
