Position Summary

The Agriculture/Industrial Parts Specialist provides knowledgeable, responsive parts support to retail customers, service technicians, sales personnel, and other dealership locations. This position identifies and sources the correct parts for agricultural, construction, compact, and industrial equipment; processes orders and sales transactions; maintains accurate inventory records; and supports efficient shipping, receiving, and merchandising activities. The Parts Specialist helps minimize customer and service-department downtime by delivering accurate solutions, timely follow-through, and an excellent overall customer experience.

Essential Duties and Responsibilities

  • Greet and assist customers at the parts counter, by telephone, and through electronic inquiries in a professional and timely manner.
  • Listen carefully to customer and technician needs, ask appropriate questions, and use equipment model, serial number, application, technical diagrams, manufacturer catalogs, and other resources to identify the correct parts.
  • Recommend appropriate replacement parts, attachments, accessories, fluids, filters, maintenance items, and related products based on customer needs and equipment specifications.
  • Prepare accurate quotes, sales orders, invoices, special orders, backorders, credits, and other transaction records using the dealership management system.
  • Communicate pricing, availability, expected delivery dates, substitutions, and order status clearly; follow through until the customer’s need is resolved.
  • Source and order parts from approved manufacturers, vendors, and other dealership locations while balancing urgency, freight cost, and customer expectations.
  • Coordinate closely with the service department to stage parts for scheduled work, identify shortages, expedite critical orders, and reduce equipment downtime.
  • Receive inbound shipments; verify quantities, condition, and documentation; report discrepancies or damage; and place parts in assigned storage locations.
  • Pick, package, label, and prepare parts for customer pickup, delivery, transfer, or shipment in accordance with dealership procedures.
  • Process returns, cores, exchanges, warranty-related parts, and vendor claims accurately and within applicable time requirements.
  • Maintain accurate inventory records, bin locations, and stocking levels; assist with cycle counts, annual physical inventory, reconciliation, and investigation of discrepancies.
  • Monitor demand and communicate potential stock-outs, obsolete inventory, supersessions, and recurring customer needs to the Parts Manager.
  • Maintain an orderly, secure, and professional parts counter, showroom, warehouse, and storage area; keep displays and product literature current.
  • Safely operate material-handling equipment and dealership vehicles when trained, authorized, and required.
  • Protect customer, company, and vendor information and comply with cash-handling, credit, pricing, and account procedures.
  • Stay current on dealership product lines, parts updates, manufacturer programs, technology, and industry practices through assigned training.
  • Build positive working relationships with customers, vendors, technicians, sales staff, and fellow employees; contribute to a team-oriented environment.
  • Follow all company policies, safety rules, environmental requirements, and applicable laws and regulations.
  • Perform other duties as assigned to support departmental and organizational goals.
Qualifications

Education and Experience

  • High school diploma or equivalent required.
  • Technical, vocational, agricultural, construction, industrial, automotive, or business training preferred.
  • Previous experience in parts sales, equipment dealerships, inventory control, warehousing, customer service, or a related environment preferred.
  • Experience with agricultural, construction, compact, industrial, truck, automotive, or power equipment parts is strongly preferred.
Knowledge, Skills, and Abilities

  • Ability to learn and apply mechanical and technical terminology, equipment systems, parts identification methods, and product specifications.
  • Ability to read and interpret parts catalogs, diagrams, service information, and manufacturer resources.
  • Strong customer-service, communication, listening, and problem-solving skills.
  • Accuracy and attention to detail when identifying parts, entering transactions, handling inventory, and processing documentation.
  • Ability to prioritize multiple customer and internal requests in a fast-paced environment while maintaining professional follow-through.
  • Working knowledge of computers, email, web-based catalogs, point-of-sale systems, and inventory or dealership management software.
  • Basic math skills necessary for pricing, quantities, measurements, discounts, and cash or credit transactions.
  • Ability to work independently and collaboratively with minimal supervision.
  • Valid driver’s license and an acceptable driving record may be required based on assigned duties.

Physical Requirements

  • Ability to remain in a stationary position and to stand or walk for extended periods during the workday.
  • Ability to bend, stoop, kneel, crouch, reach, climb, and use hands and fingers to handle parts, tools, equipment, and computer devices.
  • Ability to lift, carry, push, or pull parts and materials weighing up to 50 pounds independently and heavier items with appropriate assistance or lifting equipment.
  • Ability to communicate effectively in person, by telephone, and through electronic systems and to visually inspect parts, labels, and documentation.

Work Environment and Schedule

This position works primarily in a dealership parts counter, showroom, warehouse, and shop environment. The employee may occasionally work outdoors or make parts pickups and deliveries and may be exposed to moving equipment, noise, dust, fumes, temperature variations, and other conditions typical of agricultural, construction, and industrial equipment operations. Required personal protective equipment and safe work practices must be used as directed.

The position may require overtime, extended hours, or weekend work during peak agricultural seasons, severe weather events, special promotions, inventory activities, or periods of increased customer demand.

Salary : $44,324 - $60,543
