What are the responsibilities and job description for the Orthodontic Scheduling Coordinator position at Wilson & Hendrickson Orthodontics?
Primary Accountabilities:
The Scheduling Coordinator position is responsible for greeting and assisting patients in the checking in and out process, answering phones, scheduling patients and send/receiving emails to and from patients/responsible parties and other providers.
Major Duties:
- Work with Office Manager to create schedule for all locations and doctors.
- Maintain correspondence between our office and other providers, and patients.
- Answers phones, takes messages, makes and cancels appointments, routes calls to appropriate staff.
- Gathers all pertinent information from patient and clinic to ensure accuracy in scheduling process.
- Prepares patient charts including forms (HIPAA and health history) and information from referring providers.
- Checks in patients, verifies address, phone number, insurance information.
- Assist scheduling patient office follow up for appointments and outpatient procedures.
- Traveling to other offices to assist with front desk tasks.
- Assist clinic in calls to parents regarding oral hygiene concerns and updates on appointments.
- Maintain HIPAA/patient confidentiality requirements.
- Adhere to OSHA/infection control procedures.
Required Qualifications:
- High school graduation or GED.
- Minimum one year clerical experience preferred.
- Excellent inter-personal skills with a proven ability to effectively work with doctors, patients and other employees.
- Must possess ability to define problems, analyze root causes, collect data, establish facts and draw valid conclusions.
- Ability to understand and interpret an extensive variety of technical instructions in narrative, mathematical or diagrammatic form.
- Excellent teamwork.
- Ability to multi-task.
Physical Demands:
- While performing the duties of this job the employee is regularly required to talk and hear.
- Is frequently required to stand, walk, sit, bend and stoop and use hands and fingers to grasp and feel.
- Is required to lift up to 25 pounds occasionally, 10 pounds frequently.
- Vision requirements include: peripheral vision, depth perception and the ability to focus.
