Reports To: Principal
Terms of Employment: Permanent, 10 month position (Part-Time)
Nature of Work
Provides administrative support in the media center, typically involving supporting students/staff with printed media and technology materials. Involves facilitating, organizing, and managing the circulation of library materials (books, technology) under the supervision of the school principal. Provides limited duties assisting with front desk reception.
Qualifications and Licensure
- Associate degree or higher with a preference for a degree in education or business or minimum 48 hours of college coursework or 5 years of experience in the field
- Experience with greeting and receiving the public
- Proper English usage, grammar, spelling, vocabulary, and punctuation.
- Proficiency with modern office methods, procedures, and practices, including filing systems, business correspondence, and telephone techniques.
- Ability to produce high-quality documents and presentations utilizing Google Workspace, Microsoft Word, Excel, and PowerPoint.
- Experience navigating and managing data within LINQ and Infinite Campus platforms preferred.
Duties and Responsibilities
- Provides administrative support including, but not limited to answering phone calls and independently answering routine questions and correspondence not requiring the supervisor’s attention, filing, copying, setting up calendar appointments, preparation of presentations, calendar management and correspondence to staff, administrators, parents, students, and community members.
- Establish a respectful environment for a diverse population of stakeholders.
- Supervise students in the library/media center and provide assistance with research or technology.
- Maintains inventory for equipment purchased.
- Assists with the preparation of documents, as needed.
- Assists with mail duties.
- Facilitate student access to library resources, maintain accurate shelving, execute repair requests, and oversee daily circulation operations.
- Assist staff and students with using audiovisual equipment, printers, and computers; assist with troubleshooting basic tech issues.
Physical Requirements (if applicable)
- This work requires the occasional exertion of up to 10 pounds of force.
- Work regularly requires speaking or hearing, frequently requires standing, walking and sitting and occasionally requires stooping, kneeling, crouching or crawling, reaching with hands and arms, lifting and repetitive motions.
- Work has standard vision requirements.
- Vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly.
- Hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound.
- Work requires preparing and analyzing written or computer data.
Special Requirements (if applicable)
- General knowledge of standard office and receptionist procedures and the operation of the switchboard.
- General knowledge of the functions and activities of the public school system.
- Ability to speak clearly.
- Ability to understand and follow written and oral directions.
- Ability to operate standard office, computer and word processing equipment.
- Ability to establish and maintain effective working relationships with associates, vendors and the general public.
- Ability to work with staff positively.
