Position: Assistant to the Manager FLSA: Non-Exempt

POSITION SUMMARY
This is a non-exempt position that supports the Township Manager and the administrative operations of the municipality. The position requires an understanding of Pennsylvania municipal government, organizational skills, excellent communication abilities, and a commitment to public service.
SUPERVISION RECEIVED
Reports to the Township Manager.
ESSENTIAL DUTIES
Administration Operations
- Assists with proper filing of property records, meeting minutes, ordinances and resolutions, correspondence, etc.
- Manages Public Notices – ensures that proper public notices are made in advance of various meetings of Township Boards and Commissions.
- Responds to resident inquiries by phone, email, and in person as directed by the Township Manager.
- Updates Township website, including public notifications, calendar events, posting of minutes and other records, and general updates.
- Assists vendors when they are servicing the Township Building (shredding company, pest control, security system, water delivery, HVAC company, etc.)
- Conducts preparation for public meetings, including but not limited to, drafting ordinances and resolutions, preparing agendas and minutes, room setup, location coordination, virtual meeting setup and troubleshooting, and calendar scheduling.- ---- -
- Supports the Municipal Services Clerk in the work of processing permit applications, stocking of permit paperwork in the front lobby, etc.
- Serves as Deputy Open Records Officer and supports the Open Records Officer in the management of, research for, and responses to, requests for records.
- Offers front desk support and staffing as needed.
- Supports the Outreach Coordinator with social media, bulletin board and sign board updates, and drafting of content for e-news and newsletters.
- Supports the Outreach Coordinator with maintenance of Board and Commission volunteer lists and management of communication with Boards and Commissions.
- Composes and prepares routine correspondence and reports for signature.
- Supports Board of Supervisors, Boards and Commissions, and Township staff as directed by theTownship Manager.
Special Projects
- Supports the Planning and Zoning department with development and upkeep of GIS mapping.
- Conducts a full review of the Township website, identifying broken links, outdated content, and identifying areas of improvement.
- Completes special projects as identified and assigned by the Township Manager including but not limited to research work, survey development, and field studies.

QUALIFICATIONS REQUIRED
- A bachelor’s degree from an accredited college or university in public administration, business, political science, or a related field (or equivalent). Master’s degree a plus.
- Municipal experience preferred.
- Valid class C driver's license
- Attention to detail and organizational skills
- Experience using Microsoft Office suite; demonstrated ability to learn and use software.
- Ability to maintain effective working relationships with superiors, associates, coworkers, professional groups, officials of other agencies, elected officials, consultants, and the public.
- High level of professionalism, ethics, and an understanding of confidentiality.

- Salary range $24 - $30/hour, commensurate with experience and demonstrated ability.
