Position Summary:
The Quality Assurance (QA) Document Control Specialist is responsible for managing and maintaining the document control system to ensure compliance with internal procedures, industry standards, and regulatory requirements. This role also supports quality operations by maintaining calibration records for equipment and managing employee certification documentation and training schedules.
Key Responsibilities:
- Maintain and manage the Document Control System (DCS) for all quality-related documentation.
- Review, format, and process-controlled documents including SOPs, work instructions, forms, and quality manuals.
- Ensure timely issuance, revision, and archival of controlled documents in accordance with company policies and regulatory standards (e.g., ISO, FDA, GMP).
- Coordinate document change control processes, including routing for review and approval.
- Support internal and external audits by providing requested documentation and ensuring document traceability.
- Train staff on document control procedures and systems.
- Monitor document lifecycle and ensure obsolete documents are removed from active use.
- Collaborate with cross-functional teams (QA, Regulatory, Operations, etc.) to ensure documentation aligns with operational and compliance needs.
- Generate reports and metrics related to document control activities.
Additional Responsibilities:
- Maintain and update calibration schedules for all quality-critical equipment.
- Ensure calibration records are complete, accurate, and readily accessible for audits.
- Coordinate with operations or testing department teams to ensure timely calibration and re-certification of equipment.
- Track employee (welder) certification records to ensure compliance with job-specific requirements.
- Schedule and document employee re-certifications, and qualification renewals.
- Notify relevant departments of upcoming expirations for certifications or equipment calibrations.
Qualifications:
Education & Experience:
- Associate’s or Bachelor’s degree in a related field.
- 2 years of experience in document control or quality assurance, preferably in a regulated industry.
- Motivation, punctuality, and willingness to learn are the most important qualifications, this is considered above all else.
Skills & Competencies:
- Understanding of document control principles and quality systems.
- Familiarity with regulatory standards such as ISO 9001.
- Experience managing calibration and training records in a quality system.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
