Overview
We’re looking for an exceptional Office Administrator to join our team in Spencer. This position will serve as a key right-hand support to our Spencer staff. You’ll be managing calendars, helping with client-facing efforts, streamlining operations, and ensuring administrative tasks are handled efficiently and proactively. You’ll wear many hats—executive assistant, office coordinator, and client-facing support. The ideal candidate is confident, resourceful, eager to learn the industry, and proactive in managing both routine and high-level tasks.
What You’ll Do
- Provide high-level administrative and executive support to the Office In-Charge and other team members.
- Manage schedules, coordinate meetings, and assist with prioritizing daily tasks.
- Take the lead on handling office-wide administrative responsibilities.
- Serve as a friendly and professional point of contact for clients and staff, answering questions, solving problems, and delivering top-notch service.
- Organize and track workflows, ensuring nothing slips through the cracks.
- Review and route correspondence, reports, and documents with attention to accuracy and timeliness.
- Act as the communications hub between staff at all levels and between clients and internal teams.
- Support client onboarding, data management, and account maintenance processes.
- Take initiative on process improvements, identifying inefficiencies and offering solutions.
- Uphold our firm's policies and actively contribute to a positive, one-firm culture.
- Provide backup or overflow support to other administrative team members as needed.
