Williams Center Operations Manager
The William Carlos Williams Arts Center is housed within a 101-year old building that has been an important part of the Rutherford Borough, Southern Bergen County and the surrounding community for many years. We are seeking an Operations Manager to join our team and help the Center grow and flourish.
Responsibilities:
- Creating, refining, and teaching the Customer Service Experience at the Arts Center
- Open and close the facility on a daily basis based on an agreed-upon 5-6 day per week schedule (either set schedule or event-based)
- Guide visitors and potential promoters, rental users, etc into and through the building. Show off the space to visitors; directing traffic to the various spaces – cinema, black box, etc; getting visitor information and adding to email groups; approach interested parties dawdling outside
- Coordinating with Ownership and Native Development Ops Manager items that pertain to payment, finances, and coordination between the properties and entities
- Pop into the various spaces to make sure everything is operating well
- Posting activity, photos, etc on social media (IG stories)
- Teaching, instructing, directing team members on how to dial in customer service and create a great user experience
- Communicating to the various members of the Native Center Development team - Facilities Management, Property Management, Programming and Creative, Sound, IT Team Leads - any issues, concerns, observations that need handling
- Spreading the good word to your networks of what we are doing
- Explore and experiment with the various spaces between and adjacent to defined “spaces.” This building is comprised of 38,000 SF of floor area on various levels for various purposes and our goal is to get it all programmed and active over time
- Coordinate events
- Handle emails related to events
- Show space for rentals
- Provide and negotiate rental rates and breakdown
- Be present in the hours before events to coordinate day-of items
- Switch out banners in front of the WC and on the Cinema-side
- General upkeep and monitoring of the space notifying Facilities and Property Management when needed
- Communicate and establish with the Programming Director who is working which events. In the beginning, it will be important for this hire to attend and observe events
- Responsible for recruiting, interviewing, hiring part-time workers and volunteers to work the door at events and other as-needed roles
- Create weekly reports on event outcomes
- Post-event post-mortems/lessons learned that will help guide us towards improvements
- Help with 1099 independent contractors and their demands –being transparent and direct who is being paid for what and how much
- Interact and coordinate with future temporary and more permanent tenants – summer camps, cinema operator, bands, musicians, comedians, etc.
- Microsoft Word, Excel, etc based communications, spreadsheets to keep us organized (laptop and software to be provided)
- Monitoring facebook, social media and email – being responsive and informative
- Operate out of the office on the 1stfloor of the Williams Center as the “command center” to be furnished as you need it
Miscellaneous items:
- Turn on music in the plaza, projector/flat screen display for the plaza
- Water plants and implement other amenities to keep the space looking inviting
- Climate control monitoring following the guidelines to be provided by Facilities and Property Management
- Push merch sales and push new merch creation
- Coordinate with vendors for markets – coffee cart, craft market vendors, food trucks, etc
- Working on rental rate updates, refinement of contracts and packages
Job Type: Full-time
Schedule:
- Monday to Friday
- Weekends as needed

Salary : $49,000 - $62,000
