William P. Davis Excavation LLC is looking for a dependable and organized Accounting & Administrative Assistant to join our office team.
This is a part to full-time entry-level opportunity for someone with basic QuickBooks, bookkeeping, or accounting experience who wants to build a career in construction administration. Previous construction experience is helpful but not required—we will train the right person on our company’s systems and processes.
Position Details
- Schedule: For part time, we would prefer 3 full days a week. Hours are from 7am - 4pm, Monday through Friday, with the intention of going full time, 5 days a week.

- Pay: From $30 per hour, based on relevant experience

What You’ll Do
Working alongside an experienced team member, you will learn and assist with:
- Entering and maintaining transactions in QuickBooks
- Accounts payable and accounts receivable
- Customer invoicing and billing
- Payroll processing and related recordkeeping
- Bank and credit card reconciliations
- Organizing vendor and subcontractor documentation
- Tracking certificates of insurance and compliance documents
- Maintaining employee, customer, and vendor records
- Assisting with contracts and subcontracts
- Maintaining organized electronic files
- Supporting job-cost and project accounting
- Coordinating with Project Managers on billing and documentation
- Tracking recurring deadlines and following up on missing information
- Providing general administrative support to the office
You will not be expected to know everything on your first day. Training will be provided, and your responsibilities will increase as you become comfortable with our processes.
What We’re Looking For
You may be a good fit if you:
- Have basic experience using QuickBooks
- Have some bookkeeping, accounting, office administration, or related experience
- Pay close attention to details and notice when information does not match
- Keep your work organized and follow tasks through to completion
- Are comfortable asking questions and learning new processes
- Can manage recurring deadlines and follow up on outstanding items
- Communicate professionally with employees, customers, vendors, and management
- Are comfortable using Microsoft Office, including Outlook, Word, and Excel
We value accuracy, dependability, and a willingness to learn. We are not looking for someone who rushes through a large volume of work—we want someone who completes assignments carefully and makes sure important details are addressed.
Helpful but Not Required
Experience with any of the following is a plus:
- Accounts payable or accounts receivable
- Payroll administration
- Bank or credit card reconciliations
- Construction billing
- Job-cost accounting
- Contract administration
- Vendor or subcontractor documentation
- Certificates of insurance
- Construction, excavation, utilities, or other trade-based businesses
Candidates with basic accounting or bookkeeping experience are encouraged to apply even if they have never worked in construction.
