Program Specialist/Senior Administrative Assistant

Job Description
The Program Specialist/Senior Administrative Assistant provides comprehensive administrative and program support to the Office of Instruction and reports directly to the Vice President of Instruction. This position serves as a key resource in coordinating curriculum processes, academic program documentation, state and federal reporting, committee administration, student evaluation activities, budget monitoring, and professional development initiatives. The position also serves as the Perkins liaison.

Essential Duties Summary
Summary of Duties and Responsibilities:
  • Supporting academic divisions with curriculum changes, submitting Programs of Study to the NCCCS through the Colleague system, and updating the WCC catalog.
  • Assist the Vice President (VP) of Instruction as Perkins liaison to the NCCCS; attend meetings and trainings, submit paperwork, monitor budgets, etc.
  • General administrative duties including but not limited to ordering supplies, preparing travel forms, p-card statements, monitoring budgets, and distributing mail.
  • Coordinate administration of student course evaluations and nursing clinical evaluations each semester; assist with college-wide surveys as needed.
  • Work with academic divisions to coordinate and document Advisory Committee meetings.
  • Assist with record-keeping for articulation agreements with partnering universities and public schools.
  • Submit paperwork to the NCCCS for state-level awards such as Excellence in Teaching, Academic Excellence, Dallas Herring, and Robert Scott student awards.
  • Update college program information in the NCWorks.gov system as needed.
  • Assist with updating membership, coordinating meetings, distributing resources, and creating agendas/minutes for committees led by the Vice President of Instruction (Curriculum Committee, Instructional Core Team, Calendar Committee, etc.).
  • Assist with coordination of the High School Skills USA annual competition held on WCC’s campus.
  • Assist with coordination of professional development activities.
  • Participate in college committees and task forces.
  • Participate in professional development.
  • Performs other duties as assigned by supervisor.

Required Qualifications
  • Associate degree in business administration, office systems, or related field.
  • Organized, detail-oriented, flexible, self-starter
  • Ability to manage multiple tasks
  • Proficient in Microsoft Office and computer skills

Physical Demands
Work is performed primarily in a professional office environment with standard climate controls. The position requires prolonged sitting and extensive computer use to enter, review, and maintain electronic records. Frequent interaction with students, faculty, staff, and the public is required. Occasional evening and weekend work, as well as limited travel between College campuses or off-site instructional locations, may be necessary to support departmental operations and special events.

Essential functions of this position require effective communication, organizational skills, manual dexterity, attention to detail, and the ability to operate standard office equipment.

Light to Medium work: Exerting up to 20 pounds of force occasionally and up to 10 pounds of force frequently to lift, carry, push, pull, or otherwise move objects. Duties include prolonged sitting, frequent keyboarding, standing, walking, bending, reaching, stooping, lifting office supplies and instructional materials, and occasional travel between College locations.

Mental Application and Reasoning Ability: Requires the ability to maintain accuracy while working with detailed records and multiple deadlines. Must exercise sound judgment, critical thinking, discretion, and problem-solving skills while maintaining confidentiality of student and employee information. The position requires excellent organizational skills, adaptability to changing priorities, attention to detail, effective verbal and written communication, and the ability to analyze information, coordinate multiple projects simultaneously, and work collaboratively with diverse populations.

Salary Grade

Salary
Salary Range: $40,000 to $50,000 (12 months) based on education and experience in accordance with the college salary plan.
