What are the responsibilities and job description for the Executive Assistant to President - Growing Wildfire Protection Company position at Wildfire Roof Sprinklers?
Personal / Executive Assistant
Company: Wildfire Roof Sprinklers
We're Hiring a Badass
Wildfire Roof Sprinklers is growing fast, and we need someone who can keep up. We're looking for a Personal/Executive Assistant who doesn't wait to be told what to do — someone who sees what needs to happen and just handles it. One day you're negotiating vendor pricing, the next you're onboarding a new hire, the next you're tracking down a check across town. If that sounds chaotic, good. That's the job.
This isn't a "sit and wait for instructions" role. This is for someone who takes the ball and runs — who owns it when it goes right, owns it when it goes wrong, and doesn't need their hand held either way.
What You'll Own
Responsibilities include, but definitely aren't limited to:
- Coordinating meetings, calls, and emails
- Partnering directly with the President on research projects
- Vendor review, pricing, and ordering
- New employee onboarding
- New project onboarding
- Basic HR support
- Basic bookkeeping
- Accounts payable
- Accounts receivable — tracking down payments and following up with clients
- Basic marketing (social posts, responding to comments)
- Following up with clients for reviews
- Material orders, as needed
- Occasional driving for pickup/delivery (checks, marketing materials, etc.)
- Occasional personal tasks for the President
- Who We're Looking For
- Construction industry experience — a big plus, not a dealbreaker
- A self-starter who takes ownership — minimal direction needed; you see it through to done
- A sharp communicator — confident on the phone (not sales, just clear and capable)
- Relentlessly organized — nothing slips through the cracks on your watch
- Comfortable juggling ten things before lunch
- Trustworthy and discreet — you'll be trusted with real money, real information, and real responsibility
We're not looking for someone timid. We want someone who takes responsibility, owns the wins and the losses, and isn't afraid to hold people accountable. We're a growing company — and for the right person, you'll grow right along with us. If you thrive in a fast-moving environment, this is your shot.
Schedule
Typically 9–5, but not always. Flexibility is part of the deal — and it goes both ways. Sometimes we need you early, late, or off-hours. In return, we give that flexibility back when you need it too.
Southern California doesn't wait for permission to burn — and neither do we. Wildfire Roof Sprinklers designs and installs custom, professionally engineered rooftop sprinkler systems that give homes a real fighting chance against wind-blown embers, the number one cause of home ignition in wildfires. From the hills of Pasadena to the canyons of Orange County and the high-risk zones of the Wildland-Urban Interface, we're the team homeowners call when "hope for the best" isn't good enough.
We're not a franchise and we're not a fly-by-night crew. We're local experts who know the fire codes, the terrain, and the stakes — building systems that are custom-designed, low-profile, earthquake-resistant, and built to disappear into a home's architecture while standing ready to fight when it matters most. Whether it's an existing home or new construction integrated straight into the framing, we deliver serious protection without the eyesore.
We're growing fast across Southern California, and we move with urgency because the risk is real and the season never really ends. Join Wildfire Roof Sprinklers and you're not filing paperwork for some faceless corporation — you're part of a tight, driven team doing work that protects people's homes and lives.
