The Employee Housing Coordinator encompasses a diverse range of responsibilities aimed at ensuring smooth operations, compliance, and a positive experience for J-1 Summer Work & Travel (SWT) participants. From facilitating international travel and recruitment processes to managing housing logistics, the position requires exceptional organizational skills and attention to detail. Central tasks include coordinating cultural events, overseeing housing and facility management, maintaining accurate records, and supporting onboarding processes. Additionally, the role involves fostering a welcoming environment, addressing maintenance issues, and upholding safety and compliance standards. Through collaboration with various departments and proactive problem solving, this position plays a pivotal role in the success of the program and the well-being of its participants.
This is a full-time position with day, night and weekend availability.

Essential Duties and Responsibilities:
1. International Travel
- Travel internationally up to three times per year, with trips lasting up to 14 days.
- Collaborate with the International Recruiting team for virtual and in-person interviews of J-1 SWT participants.
- Maintain shared spreadsheets tracking employee information such as personal data, compensation, attendance, arrival, and departure dates.
- Organize and coordinate three cultural activities per month for J-1 SWT staff in partnership with the International Recruiting Coordinator.
- Create event calendars and promotional posters; provide transportation using the housing van.
- Manage SWT Instagram and Facebook pages, ensuring cultural events are well-documented.
- Maintain and update the Wilderness Housing Occupancy spreadsheet. Share updated arrival sheets as needed with relevant teams (e.g., Security, FD Managers, MOD, HR).
- Assign room numbers to J-1 students in a shared Excel spreadsheet prior to their arrival.
- Manage bi-weekly housing deduction sheets in Excel and submit them to Accounting for payroll rent deductions.
- Oversee J-1 participant check-ins, including issuing room keys, lanyards, and showing students their rooms.
- Manage housing key creation, labeling, lost key requests, and replacement issuance.
- Log and save all Security reports; issue fines and provide receipts as per lease agreements.
- Maintain accurate records of cash fine payments.
- Assist with I-94 retrieval, onboarding orientations, and issuing Housing ID photos.
- Assist with annual fire alarm/extinguisher testing, kitchen hood cleanings, and inspections to ensure compliance.
- Perform weekly fire extinguisher checks for proper pin placement, hose clearance, and pressure levels.
- Coordinate with Maintenance to address and resolve general housing issues (e.g., HVAC, plumbing, electrical).
- Conduct weekly room inspections to ensure cleanliness and proper disposal of garbage. Maintain inspection logs.
- Ensure hallways, common areas, entrances, and dumpster areas are well maintained.
- Oversee final room inspections and coordinate with Housekeeping if students fail to meet cleaning requirements.
- Transport residents to Wal-Mart twice weekly using the housing van.
- Submit linen and cleaning supply orders as needed.
- Renew the annual housing license to maintain compliance.
- Attend monthly resort safety meetings and provide updates to the HR office.
- All other duties as assigned by management.
