Job Overview
We are seeking a highly organized and professional Secretary to join our team. Duties
- Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
- Operate multi-line phone systems to direct calls efficiently and take accurate messages
- Maintain and update calendars for appointments, meetings, and events using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Support office management tasks including supply ordering, record keeping, and document management
- Assist with customer service by supporting client inquiries via phone or email
- Provide administrative support to staff through calendar management and scheduling appointments
- Handle clerical duties such as typing correspondence, managing emails, and maintaining organized files
- Support medical or dental reception duties if applicable, including appointment scheduling and patient record management
Skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Strong computer literacy with excellent typing speed and data entry skills
- Experience with office management systems such as QuickBooks or similar software
- Excellent organizational skills with the ability to prioritize tasks effectively
