Job Overview

Wiggles Pet Resort is seeking a highly organized and customer-focused Assistant Front Desk Manager to join our team. This role is essential in ensuring smooth operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office management skills, proficiency with various software tools, and the ability to handle multiple responsibilities efficiently. Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries with professionalism and courtesy
  • Answer and direct multi-line phone systems, ensuring excellent phone etiquette and timely responses
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Assist with office management tasks such as vaccine protocols, supply inventory, and maintaining a clean reception area
  • Provide customer support by addressing client questions and resolving issues efficiently
  • Support administrative functions including typing reports, supporting data entry projects, and managing correspondence
  • Coordinate with other departments to ensure seamless office operations and effective communication

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy with experience in office management software such as QuickBooks
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional customer service skills with professional phone etiquette and interpersonal communication abilities
  • Clerical experience including data entry, filing, proofreading, and document management
  • Experience with multi-line phone systems and calendar management tools
  • Prior experience as a receptionist (medical or dental), personal assistant, or administrative support is advantageous
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Exceptional customer follow up skills
