Whole Health Chiropractic is looking for a confident, proactive, and people-centered Practice Operations & Patient Care Manager to lead our team, support our patients, and help our family wellness practice operate at its highest level.
This is not simply an administrative or front-desk position. This person will serve as a key leader within our practice—someone who takes ownership, anticipates needs, solves problems, understands the importance of strong financial systems, and helps both patients and team members stay on track.

What You’ll Do
Practice Operations and Leadership
- Oversee daily office operations and help the practice run smoothly and efficiently
- Lead, train, support, and hold team members accountable
- Coordinate daily priorities and ensure important responsibilities are completed
- Lead team huddles and maintain clear communication among team members
- Identify problems, recommend solutions, and follow through with implementation
- Improve office systems, workflows, and the overall patient experience
- Monitor key practice numbers and identify areas needing attention
- Support the doctors by anticipating needs and protecting their ability to focus on patient care
- Help lead practice projects, community events, and growth initiatives
- Set the tone for a positive, professional, and energetic team environment
Patient Care and Wellness Communication
- Create a warm and welcoming experience for every patient and family
- Build genuine relationships and help patients feel known and supported
- Inspire patients to take an active role in their health and wellness
- Communicate the importance of consistency and help patients remain on track with recommended care
- Help patients understand their schedules, care recommendations, financial agreements, and office policies
- Follow up proactively regarding missed visits, scheduling gaps, outstanding balances, and other care needs
- Confidently answer questions and address concerns with empathy and professionalism
- Communicate effectively in person, by phone, through text, and by email
- Help create a practice culture that makes healthy living encouraging, approachable, and sustainable
- Protect patient privacy and follow HIPAA requirements
Financial and Administrative Management
- Confidently explain financial agreements, payment options, and office policies
- Collect payments and monitor patient account balances
- Oversee financial follow-up and ensure accounts are handled consistently
- Support accurate tracking, reconciliation, reporting, and administrative processes
- Review practice numbers and recognize trends or areas of concern
- Maintain organized scheduling, documentation, and office systems
- Handle sensitive patient, employee, and financial information with discretion
- Assist with budgeting, purchasing, payroll support, or bookkeeping coordination as appropriate

Preferred Qualifications
- Previous experience in office management, team leadership, healthcare administration, customer service, or practice operations
- Experience with patient accounts, payment collection, bookkeeping, payroll, or financial reporting
- Strong written and verbal communication skills
- Comfort using scheduling systems, electronic health records, spreadsheets, and office technology
- Chiropractic, wellness, or healthcare experience is helpful but not required
- Experience with ChiroTouch is a plus
